Job Description

Key Responsibility: I. Team Leadership and Staff Management :• Supervise and Mentor: Oversee the daily activities of the administrative team. This includes scheduling, workload distribution, and performance management. • Training and Development: Onboard and train new employee on office procedures, software usage, and company policies. • Process Improvement: Identify bottlenecks and inefficiencies in administrative workflows and implement new, scalable processes and tools to enhance productivity. II. Office Operations and Facilities :• Resource Management: Manage and maintain office supplies, equipment, and inventory (e.g., stationary, uniforms, breakroom items), ensuring cost-effective purchasing and timely replenishment. • Vendor and Contract Management: Negotiate, manage, and monitor contracts with external vendors, including maintenance, cleaning, and security services. • Facilities Coordination: Act as the primary point of contact for facility-related issues, liaising with building management and maintenance personnel to ensure a safe, functional, and aesthetically pleasing work environment. • Logistics: Oversee corporate travel arrangements, meeting scheduling, and large-scale event logistics (e.g., company meetings, offsite gatherings). III. Financial and Reporting Administration :• Budget Oversight: Assist in developing and monitoring the administrative department's operational budget, tracking expenditures and identifying areas for savings. • Invoicing and Expense Processing: Manage the administrative department’s purchasing process, review vendor invoices, and reconcile expense reports according to company financial guidelines. • Record Keeping: Ensure systematic and confidential maintenance of all corporate administrative records, contracts, and legal documentation. Requirements: • Integrity is a key requirement for this role, as we value honesty, accountability, and ethical decision-making in every aspect of our business. • Bachelor's degree in Business Administration, Management, or a related field preferred. Equivalent practical experience will be considered. • 3+ years of experience in high-level administrative or executive assistant roles. • 1+ years of direct experience supervising or leading a team in an office setting. • Good verbal and written communication in both English and Khmer. • Efficient in computer literacy including system knowledge.
