The Campus Administrator is responsible for ensuring the efficient day-to-day administrative operation of the campus, overseeing key areas including human resources, accounting, facilities management, and general operational support. The role ensures that all internal processes effectively support the academic development and sustainable growth of the campus.In addition to administrative management, the Campus Administrator is expected to be proactive, identifying and recommending opportunities to improve operational efficiency, streamline internal processes, and support the organized expansion of the campus in line with institutional needs.Through the effective management of support services and a continuous focus on operational improvements, the Campus Administrator helps maintain a safe, orderly, and well-managed environment for work and learning, contributing directly to the institution’s goals for academic quality, student satisfaction, and regulatory compliance.The uninterrupted daily operations of the campus.The effective management of human, financial, and facility resources.The timely support provided to students, faculty, and academic programs.The administrative readiness to support future campus growth.PRINCIPLE DUTIES AND RESPONSIBILITIES: The Campus Administrator plays a central role in maintaining the seamless daily operations of the campus. By ensuring the continuous management of essential services, the Administrator upholds the stability and efficiency needed to support the institution’s academic mission. A critical part of this role involves the effective oversight of human, financial, and facility resources, enabling the campus to operate within budgetary and regulatory frameworks while delivering a high-quality environment for students and staff.The Campus Administrator also ensures that timely and responsive support is available to faculty, students, and academic programs, addressing administrative needs and resolving operational issues to enhance the overall campus experience. Furthermore, the Administrator is responsible for strengthening the administrative foundation necessary for future growth, proactively identifying opportunities to improve processes, increase operational efficiency, and scale resources as the campus expandKey Responsibilities:Oversee Daily Administrative Operations:Ensure that all campus administrative activities, including office management, scheduling, and supplies coordination, run smoothly and efficiently on a day-to-day basis.Manage Human Resources Processes:Administer HR functions such as employee onboarding, timesheet processing, performance tracking, compliance with employment policies, and support for staff development initiatives.Supervise Accounting and Financial Transactions:Monitor campus accounting operations, including invoice processing, payment approvals, expense tracking, and coordination with the university’s finance department to ensure fiscal discipline.Coordinate Facility Management and Maintenance:Oversee the maintenance, cleanliness, safety, and functionality of all campus facilities, liaising with vendors and service providers to ensure operational standards are met.Support Student Administrative Services:Facilitate administrative processes that support student life, such as housing coordination, student documentation, and access to campus services.Ensure Regulatory and Policy Compliance:Maintain adherence to institutional policies and local regulations across all administrative functions, ensuring that documentation and reporting requirements are consistently met.Implement and Monitor Administrative Procedures:Develop, refine, and enforce operational procedures to optimize workflow efficiency, improve service quality, and ensure consistency in campus administrative processes.Identify and Propose Operational Improvements:Continuously evaluate campus operations to identify opportunities for efficiency gains, cost savings, and process enhancements; present actionable recommendations to senior leadership.Assist in Planning for Campus Growth:Collaborate with university leadership to ensure that administrative services, facilities, and staffing levels are scaled appropriately to meet anticipated growth needs.COMPETENCIES: Strong Organizational Skills:Ability to manage multiple administrative processes simultaneously, prioritize tasks effectively, and maintain a high level of accuracy and efficiency.Attention to Detail:Meticulous in handling financial records, HR documentation, vendor contracts, and operational procedures to ensure compliance and minimize errors.Financial and Accounting Acumen:Basic knowledge of accounting principles, budget management, and financial reporting to oversee campus expenditures and support fiscal responsibility.Human Resources Management Knowledge:Understanding of employment practices, personnel policies, and staff supervision to ensure smooth HR operations and a positive work environment.Problem-Solving Ability:Proactive in identifying operational challenges and implementing effective, practical solutions to maintain uninterrupted campus functions.Communication and Interpersonal Skills:Excellent verbal and written communication abilities to interact professionally with students, faculty, staff, vendors, and external partners.Facility Management Awareness:Knowledge of facility operations, safety standards, and maintenance protocols to maintain a secure and functional campus environment.Process Improvement Mindset:Ability to evaluate existing procedures, suggest enhancements, and implement operational efficiencies to support the campus’s growth and quality standards.Customer Service Orientation:Commitment to providing responsive, supportive, and student-centered administrative services that enhance the overall campus experience.Autonomy and Initiative:Capacity to work independently with minimal supervision, take ownership of administrative responsibilities, and proactively seek ways to add value to campus operations.Experience in healthcare education or a medical university setting is highly desirable.QUALIFICATIONS:Education:Bachelor’s degree in Business Administration, Management, Accounting, Human Resources, or a related field required.A Master’s degree in a relevant area is preferred but not mandatory.Experience:Minimum of 3–5 years of progressive experience in administrative management, office operations, or campus operations, preferably in an educational or service-oriented environment.Human Resources Knowledge:Practical experience in HR administration, including hiring, onboarding, employee record management, and basic labor law compliance.Financial Skills:Experience managing budgets, processing financial transactions, preparing expense reports, and liaising with accounting departments.Facilities Oversight:Prior involvement in managing office spaces, coordinating maintenance services, or supervising facility-related vendors is an asset.Technical Skills:Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with administrative management systems (e.g., ERP platforms, HRIS, accounting software).At HEALTHCADEMIA, we firmly believe in equal opportunities.
