Our people are incredibly passionate about what they do, and that passion drives our success.About The RoleWe are seeking a Client Services & Administration Officer to join our team full-time, Monday to Friday. This role is in Ashmore, Australia. In this role, you will:Back-up/ support for the full-time Client Services & Administration Officer Duties as listed below:Receptionist/Customer Service - answering phone calls, assisting clients with placing orders, product details (e.g. CoAs, formulas, prices, expiry dates, etc), setting up new accounts and updating customer information.Manage all incoming emails – answering enquiries (e.g. CoAs, formulas, prices, expiry dates, etc), liaising with Fagron Compounding Support team (formulas, CoAs and Allergen Statements, product information), general organization of inboxSales Order processing – management of all inbound sales via email, webshop or phone calls, processing out of stock enquiries via email, webshop and phone calls and creating back orders, assisting with contacting clients and issuing of backorders when new stock arrives, checking AHPRA registration as required including Ketamine documentation, tracking of parcel delivery and follow up, liaising with Warehouse team regarding stock, assisting picking orders if needed.International Customers – email customers, pick and pack orders, dispatch through FedEx and DHL.Back orders - enquiries, reports, phone clients, send orders once we have received stock.Process customer payments in MYOB via Bank feeds.Process end of month customer statements and email to customers.Maintenance of the Quality Complaints register.Update the Drug fridge temperature register and reporting.Assist the Business manager with data entry of stock orders.Controlled drugs – create and process order forms and End User Declarations for controlled drug sales, manage the register to ensure compliance with regulations.This is an opportunity to contribute in a fun, evolving workplace while enjoying an attractive remuneration package.Set yourself apartWe are looking for someone who is:Detail-oriented, resilient, and self-driven.Skilled at working independently as well as collaboratively.A strong communicator, both verbally and in writing.Curious, adaptable, and willing to learn.Qualifications in a relevant field are highly regarded.
