Job Description
We are seeking a highly capable and organised Commercial Property Management Assistant to support our commercial real estate team in delivering exceptional service to clients, agents, and stakeholders. This role is perfect for someone with commercial property experience in Australia or New Zealand, strong attention to detail, and the ability to juggle multiple priorities in a fast-paced, client-focused environment.Key Responsibilities:Respond to inquiries from buyers, sellers, and commercial tenants via email and phone in a timely and professional manner.Coordinate and assist with virtual property viewings, in-person inspections, and related scheduling.Coordinate property maintenance and repairs, working with contractors and vendors as needed.Prepare, format, and send contracts, lease agreements, and disclosure documents accurately and promptly.Keep commercial property listings up to date across online platforms, portals, and internal databases.Schedule inspections, manage access, and support compliance checks and certifications.Maintain accurate data entry across CRMs, sales pipelines, and document filing systems.Support the sales process by tracking deposit payments, following up on documentation, and liaising with legal and financial contacts as needed.Assist in preparing sales and performance reports for the commercial property team.General admin tasks including scheduling, digital filing, and other support duties assigned by the commercial sales team.Job Requirements:At least 9 months of experience in Australian or New Zealand commercial property sales or leasing.Familiarity with property management and CRM software, such as: Property Me, Property Tree, AILO, Inspection Express, Kolmeo (or commercial-specific platforms).Proficiency in Microsoft Office Suite (Teams, Excel, Word) and Google Workspace.Experience with tools like Trello, Monday.com, or other task-tracking software.Preferred Attributes:Strong organizational skills and keen attention to detail.Excellent written and verbal communication skills.Ability to manage deadlines and multitask across various admin duties with minimal supervision.Must have a reliable internet connection and a well-equipped home office setup.Available to start ASAP.Technical Requirements:Equipment is self-providedUSB Headset with Noise Cancellation featureWorking WebcamComputer with at least 1.5 GHz processor and at least 8GB RAMMain Internet Service Speed: at least 50 Mbps cable connectionBackup Internet Service Speed: at least 25 MbpsDual MonitorBenefits:Discretionary bonus - not a 13th month pay.Referral Bonus - 70 AUD per successful hire (1 month mark with the client)Dedicated support personFun cultureSupport from HR, Tax, and other specialties10 Paid Annual Leaves; 9 Paid Australian Holidays (ONLY regular employees); 1 Birthday LeaveCompany Outing (For tenured employees; 6 months)Paid Training100% Work-From-HomeBIR as you are a contractor (Required to submit any contributions required by the government.)
