Role: Contracts & Budget Coordinator Contract: 6 Months (Possible full-time conversion opportunity)Location: 100% Onsite in Everette, MAThis position is initially budgeted as a part-time (20 hours per week) contract. When these hours are to be worked can be discussed with the hiring team. There is a long-term goal of hiring this person as a full-time, permanent employee.Free, secure parking is offered.Overview & ResponsibilitiesWork with a leading energy facility's Maintenance department in the Boston area to establish a critical new administrative role. This part-time position is designed to be the dedicated owner of all maintenance contract invoicing and budget tracking, addressing a significant need within the organization. The ideal candidate is a self-starter with a strong financial acumen who can streamline processes and effectively manage vendor relations. This is a unique opportunity to demonstrate value and potentially convert this role into a long-term, full-time career position. You will…• Manage and handle all aspects of maintenance contracts after they are issued, with a focus on invoicing.• Actively chase down timesheets from contractors to accurately track and manage the $20 million annual budget.• Serve as the dedicated point-person for the supply management systems, specifically Asset Suite 9 and Oracle.• Resolve invoicing conflicts by proactively reaching out to and communicating with vendors' billing departments.• Assist contractors and vendors with submitting their invoices correctly through the Asset Suite 9 system.• Look for and implement improvements to current processes to increase efficiency and organization.Required Qualifications• Minimum of two years of experience in a relevant role (e.g., invoicing, billing, accounting, or budget management).• Strong financial/math skills and an understanding of the flow of money and how it affects the bottom line.• Excellent organizational and interpersonal skills with the confidence to communicate directly and effectively with vendors over the phone.• Comfort with and aptitude for learning and using computer programs and supply management systems (training provided for Asset Suite 9).• Ability to work on-site in Everett, Massachusetts, for approximately 20 hours per week.Preferred Qualifications• Three to five years of experience in a similar role.• Prior experience or background in light accounting or billing.• Experience with the Oracle system.
