Job Description

This is a clerical and administrative position where performance duties include processing and maintenance of municipal court cases for East Point Municipal Court. Responsibilities include, but are not limited to, entering citations into a database, running criminal and driving history reports on G.C.I.C., facilitating court proceedings, processing court and probation orders. Maintaining a working relationship with Police Department, and other legal entities.Attend court and assist the judge with court proceedings.Collect citations from East Point Police Department officers, MARTA officers and Georgia State Patrol officers and enter citations into case management software manually and electronically.Update criminal charges and bond information, calculate release dates, and maintain inmate classification and location data.Create and schedule virtual 1st appearance hearings, ensuring all necessary parties receive the hearing link and access details.Submit reportable moving violations to the Department of Driver Services physically and electronically.Assist with preparing various court correspondence, including but not limited to, bench warrants,subpoenas,bind-overs,probationservicepapers,licensesuspensions,courtsession dockets, failure to appear letters, license release letter, and certified letters.Assistwithprocessingfinesandcashbonds,reconciledailycashreceipts and submit deposits to the appropriate entity.Run criminal and driver history reports through G.C.I.C. for defendants attending court and inmates.Distribute documents and information to involved parties, law enforcement agencies, process and prepare legal documents requested by the public or litigants.Create and maintain case files.Submit, update and correct arrest and disposition information through the electronic Computerized Criminal History (CCH) system.Provide clerical support by answering and directing phone calls—assist at the front counter.Respond to front window, telephone and written inquiries.Provide assistance and information to probation officers, attorneys, police department and law enforcement agencies regarding inmates, court procedures and the status of cases.Perform other duties as assigned.High School diploma or equivalent. Ability to type a minimum of40-50 alpha-numeric words per minute. Ability to use all platforms under Microsoft Office. Bilingual Spanish/English speaking applicants encouraged. GCIC certification, or ability to obtain certification within 60 days of employment required.Basic knowledge of the practices and procedures involved in law enforcement recordkeeping and confidentiality.Knowledge of City policies, procedures, codes, ordinances, and applicable Federal, State, and Local laws.Knowledge of GCIC rules and regulations.Knowledge of modern office practices, methods, equipment, and standard clerical procedures.Knowledge of basic bookkeeping practices.Knowledge of basic math and accounting practices.Skill in operating a computer and entering data into database.Ability to read and comprehend various legal documents.Ability to handle stressful situations and communicate effectively and professionally with disgruntled individuals.Ability to type and enter data quickly and accurately.Ability to maintain accurate and complete records.Ability to communicate clearly and concisely, both orally and in writing.Ability to perform work within the guidelines of the City and Departmental policies, procedures, codes, ordinances, Federal, State, & Local laws, as well as GCIC Rules and regulations.Supervisory controls: Work is performed under the direct supervision of the Clerk of Court.Guidelines: Guidelines include City and departmental policies, procedures, codes, and ordinances; Federal, State and local laws; and G.C.I.C. rules and regulations.Complexity and scope: This position consists of a variety of clerical and administrative duties. The position has recurring work situations involving high degrees of discretion. The need for accuracy and effective utilization of accepted programs and routines is high. Errors in judgment will waste resources and adversely impact people’s lives. This position operates within a team and everyone plays a part in the success of the department. Content of work priorities are determined by supervision.Scope and effect: The purpose of this position is to ensure the effective and efficient daily operations of the municipal court.Professional contacts: Contacts are typically with co-workers, attorneys, judges, solicitors, police officers, jail personnel, individuals from other law enforcement agencies and the general public.Purpose of contacts: Contacts are typically to give and exchange information, provide customer service, resolve conflicts, and solve problems.Physical demands: The work is typically performed with an employee sitting at a desk with intermittent standing and walking but does require the ability to ambulate up and down stairs. The employee occasionally lifts light or heavy objects and uses tools or equipment requiring a high degree of dexterity.Work environment: The work is typically performed in an office. Maybe required to walk to other departments or offices outside primary building.Supervisory and Management responsibility :None
