Job Description

Akij Resources is looking for Deputy Manager - Facility Management (Administration)Key PointsThe Deputy Manager - Facility Management will be responsible for ensuring efficient operations and maintenance of Akij Resource`s administrative facilities. The role includes vendor and contract management, cost control, ensuring health and safety compliance, and supporting strategic administrative functions aligned with organizational goals. The position demands a structured, chain-of-command approach to maintain order, safety, and efficiency across multiple sites. Job Description / ResponsibilityCommand & Control of Facilities : Exercise delegated authority from the Head of Administration over all facility support functions.

Maintain discipline, punctuality, and protocol adherence among facility teams and outsourced staff. Conduct routine facility inspections to ensure readiness, hygiene, and security as per set standards. Facility Operations Management : Oversee day-to-day operations of corporate and site facilities including utilities, building services, and office environment. Ensure timely maintenance and cleanliness of premises and ensure uninterrupted services. Manage AMC contracts for utilities (e. g. electricity, HVAC, elevators) and infrastructure. Establish checklists and SOP-driven routines for all facility operations. Administrative Services Management : Support administrative coordination (stationery, seating, transport, cafeteria, reception). Maintain asset tracking and administrative inventory logs.

Implement standard operating procedures (SOPs) to improve administrative efficiency. Vendor & Contract Management : Evaluate, onboard, and monitor vendors for services including housekeeping, security, transport, etc. Command and supervise vendor performance, ensuring accountability and discipline in service delivery. Negotiate contracts with focus on value, reliability, and compliance with administrative protocols. Draft and review service-level agreements (SLAs) and monitor vendor performance metrics. Ensure timely renewal and termination of contracts with due compliance. Health, Safety & Compliance : Conduct regular facility safety inspections and risk assessments. Ensure compliance with fire safety, emergency preparedness, and workplace hygiene protocols.

Support internal audits and regulatory inspections related to facilities and admin practices. Budgeting & Cost Control : Prepare and Assist in formulating and executing facility budgets in alignment with administrative strategy. Identify cost-saving opportunities in utility usage, space optimization, and vendor services. Maintain MIS reports and present monthly expense analysis to leadership. Educational RequirementsBachelor of Business Administration (BBA) in ManagementSkills Required: Vendor management, Good communication skills, Team management, MS Excel, Strong negotiation skills, Google workspaceExperience Requirements6 to 8 year(s)The applicants should have experience in the following business area(s):
