Job Description
We are seeking a highly organized and detail-oriented Digital Media Planner to provide administrative support across the Media service & Media planning, execution. This role will be responsible for coordinating media-related service and administrative tasks, managing documentation and assisting in the payment request and tracking processes to ensure smooth operational workflows.Key Responsibilities:Digital Media Planning Support:Develop annual and project-based media strategies, plans, and campaign reports based on market trends, consumer insights, client objectives, and campaign performance.Stay up to date with current digital and social ad formats (YouTube, Meta, TikTok, etc.).Manage multiple projects and clients, ensuring timely, accurate, and high-quality delivery.Build and maintain strong client relationships through regular in-person and daily communication.Attend client meetings and routine status calls on-site.Communicate with clients daily via email and phone.Coordinate and track media insertion orders, purchase requests, and campaign timelines.Maintain updated records of media plans, vendor contracts, and delivery confirmations.Liaise with media vendors and internal stakeholders for document submission, approvals, and follow-ups.Support the preparation of post-campaign reports and performance summaries.Finance Related Administration:Prepare and compile documents for payment requests and ensure compliance with internal approval workflows.Submit payment requests to the finance system and coordinate with the finance team for payment processing.Maintain accurate records of outstanding and completed payments, ensuring proper documentation and audit trails.Monitor invoice submissions and match them with corresponding PR/PO and media schedules.General Administrative Duties:Maintain an organized digital and physical filing system for all administrative documents.Assist in scheduling meetings, preparing reports, and other clerical duties as needed.Support cross-department communication for media-related matters.Qualifications:Minimum Diploma or Bachelor’s Degree in Administration, Marketing, Advertising, Communication, Business or a related field.3 years of experience in a digital media planning and administrative support role, preferably in media agencies.Familiarity with digital media operations and/or finance payment procedures is a plus.Proficient in Microsoft Office (especially Excel and Word) and digital documentation tools.Strong attention to detail and ability to handle multiple tasks in a fast-paced environment.Good communication and coordination skills.This job opportunity is for a start-up advertising company based in BGC, Taguig.
