Job Description

We’re looking for an Operations & Inventory Accounting Assistant who can bring structure, control, and visibility to a fast-moving wholesale electronics business.When inventory is tight, numbers are accurate, and reports are reliable, leadership can move decisively on buying, selling, and cash flow. Your work will make that possible.This role is built for someone who likes systems, precision, and accountability. You’ll sit at the center of operations—connecting inventory, accounting, vendors, and reporting into one clear, reliable picture.What You’ll DoControl Inventory MovementYou’ll ensure every unit, purchase, and adjustment is tracked correctly—no gaps, no guesswork.Maintain accurate inventory records (purchases, counts, reconciliations)Track aging inventory and flag slow-moving SKUs earlyProduce weekly inventory performance reportsTie Inventory to the NumbersYou’ll make sure the books reflect what’s actually happening on the ground.Upload and categorize purchase invoices in QuickBooks OnlineMatch purchases to payments and reconcile depositsSupport expense tracking, COGS reporting, and month-end cleanupPrepare weekly capital and financial performance reportsBuild Clean Vendor SystemsYou’ll organize documentation so information is always easy to find and trust.Maintain digital invoices and vendor recordsCollect W-9s, invoices, and payment termsManage the vendor inbox and filing systemsKeep shared drives and admin records clean and structuredSupport Daily ExecutionYou’ll catch issues early and keep operations running smoothly.Send daily task confirmations and flag discrepanciesCoordinate occasional shipping labels or freight pickupsCommunicate professionally with vendors and clientsWhat You BringStrong English communication skillsHands-on experience with QuickBooks Online (required)Experience using inventory systems (Airtable, Cin7, Inflow, Zoho, or similar)Solid Excel or Google Sheets skillsExperience tracking inventory, expenses, and costsHigh attention to detail and respect for clean systemsAbility to follow SOPs and enforce consistencyComfortable handling operational and administrative tasksDirect, professional communication styleWhy This Role MattersWhen inventory is controlled and financial data is accurate, the business can scale with confidence.
