You will provide dedicated support to 2 Vice Presidents of a Legal Team in Mexico with administrative matters. Your responsibilities will include:Planning, organizing, and controlling the agenda of three VPs, internal and external meetings.Planning and organizing national and international trips:TicketsHotelsTransfersCreating purchase orders (POs) for invoice payments and controlling them.Managing the payment process of invoices.Entering data for final payment.Entering complements once invoices are paid.Controlling the Legal Tracker platform, ensuring that our vendors' invoices are correctly uploaded for proper and secure approval.Ensuring that all vendor data, both for paid invoices and their complements from the assigned platforms, are correctly recorded. This helps in controlling our BUDGET.·        Planning, logistics, and organization of GCO events such as Offsites, Town Halls, and monthly Staff meetings.·        Timely and accurate verification of CORPORATE cards, preparing expense reports correctly on a monthly basis.·        Teamwork with my GCO colleagues for various activities and needs of the team to achieve goals together, such as scheduling meetings, ordering stationery, following up on approval requests, etc.·        Always considering the BUDGET of the area for both vendor invoice payments and event organization.·        Making the necessary provisions to ensure a correct fiscal year-end closure regarding area expenses.·        Supporting different areas, as it is a team effort, and intervening when necessary to achieve common goals.Minimum Qualifications·        Languages Spanish and English·        Proficient in Microsoft Office·        Exceptional organizational skills·        Strong communication skills, both written and verbal·        Flexibility and adaptability: last-minute schedule changes, shifting priorities, handling diverse personalities, crisis management, remote work adjustments·        Discretion and confidentiality·        Strong Multitasking AbilitiesPreferred QualificationsKnowledge of Concur, PO creation and Legal Tracker systemsWe back you with benefits that support your holistic well-being so you can be and deliver your best.
