THE POSITIONTo provide executive-level PA support to a Global Hub , including extensive diary management, planning, and coordination of meetings, events, and various projects. This role requires managing and prioritizing the workload with a high degree of autonomy and agility to meet business needs and achieve desired outcomes. Additionally, it offers a great opportunity to make the role their own by identifying efficiencies and implementing new ways of working, such as utilizing AI.This is a hybrid role based in London.Tasks & ResponsibilitiesDiary Management: Efficiently coordinate the busy Global Hub schedule, prioritizing commitments to meet strategic goalsCommunication: Act as the primary contact for internal and external stakeholders, managing correspondence and queriesMeeting Coordination: Organize and co-ordinate meetings, including logistics and document preparation for local and global meetings, and additionally minute-taking Leadership Team meetings. Follow up on actionsInformation Management: Ensure confidentiality and secure information flow within the leadership teamProject Support: Assist in project management, track progress, and support milestone achievementRelationship Building: Maintain and build relationships with stakeholders both within the local hub and the global hubProcess and Innovation: Manage purchase orders, invoices, and departmental admin, including organization charts and distribution listsTravel & Expenses: Handle all travel arrangements and expense administrationRequirementsThe ideal candidate will be extremely proactive, flexible, and diligent, with the ability to prioritize their workload and handle pressure effectively.
