But we’re only at the beginning—this is a chance to shape brands that will define the next decade.About The RoleWe’re seeking a proactive, highly organized Executive Assistant to serve as the operational heartbeat for Nysonian’s Co-Founders (CEO/COO and CEO/CMO). You will manage inboxes and calendars, coordinatecompany-wide follow-through, and handle confidential tasks with precision and urgency. From triaging executive communications to scheduling critical meetings, provisioning user accounts, and executing personal research/logistics, you’ll create leverage that keeps the C-suite focused on high-impact decisions.This role is hands-on, fast-paced, and requires impeccable judgment, written communication, and discretion. Flexibility to work extended hours and weekends when business needs are required is essential.Key ResponsibilitiesExecutive Communications & Inbox OwnershipMonitor the centralized admin email accounts where all sensitive and important communications are received.Review incoming messages and identify items requiring immediate attention.Forward relevant emails to the appropriate departments for action.Escalate critical messages to the COO and CMO when their review or input is necessary.Track all important correspondence to ensure proper follow-up and closure.Calendar, Meetings & CoordinationOwn complex calendar management across time zones; schedule and reschedule meetings for the CEO/CMO and CEO/COO.Operations, Research & Personal LogisticsConduct personal research and procurement for the executives (e.g., booking cars/rooms, securing health insurance quotations, vendor comparisons).Prepare and sign documents on behalf of the executives where delegated, ensuring correct authority, version control, and audit trail.Process & Stakeholder ManagementDesign and refine lightweight SOPs for inbox triage, escalation matrices, account provisioning, and meeting workflows.Track cross-functional requests from the C-suite to departments; drive accountability until resolution.Guard confidentiality and manage sensitive information with the highest discretion.Qualifications & Requirements1–3+ years of Executive Assistant or Chief-of-Staff-style support for C-level leaders in high-growth environments.Demonstrated excellence in email triage, executive calendaring, and cross-functional coordination.Google Workspace proficiency, strong fluency with Gmail, Calendar, Drive, Docs/Sheets/Slides.Bonus: familiarity with ticketing/PM tools (e.g., Asana/Jira), messaging (Slack), and e-signature platforms (DocuSign/Adobe Sign).Exceptional written and verbal communication in English; concise executive summaries are a must.High integrity and confidentiality; strong judgment, urgency, and follow-through.Ability to work independently, juggle competing priorities, and support after-hours/weekend needs when necessary.What We OfferDaily exposure to the C-suite and high-impact decision-making.A fast-paced, collaborative environment with room to build and improve processes.Career growth pathways into senior EA, operations, or Chief-of-Staff tracks.The chance to meaningfully influence how world-class brands operate at scale.Key Performance IndicatorsInbox SLA for priority items (e.g., Calendar accuracy and meeting readiness (agendas/pre-reads sent on time; decision clarity).Account provisioning turnaround time & zero security incidents.On-time completion rate for routed requests and executive action items.Quality of briefs/communications (clarity, accuracy, outcomes).
