Job Description

ResponsibilitiesManage the CEO’s calendar, scheduling meetings, appointments, travel, and personal engagementsHandle confidential business and personal correspondence, calls, and communications on behalf of the CEOCoordinate and manage personal errands, schedules, and appointments (medical, family, events, etc.)Oversee household matters including maintenance, deliveries, and communication with household staffHandle personal travel bookings, restaurant reservations, and leisure arrangementsMaintain and update important personal and family documents (passports, Emirates IDs, visas, insurance, memberships, etc.), including renewal remindersManage personal budgeting, expense tracking, and reconciliation of credit card and petty cash statementsPrepare payments, reimbursements, and invoices for both personal and business mattersMaintain organized digital and physical filing systems for personal and office-related documentsCoordinate with Admin, PROs, legal, and government entities for documentation and renewalsHandle administrative tasks such as meeting preparations, presentation support, and follow-up on action pointsReview and manage the CEO’s to-do lists and reminders, following up directly with teams or external parties as neededAct as a liaison between the CEO and internal departments to ensure timely communication and task completionMonitor and replenish essential office and household suppliesManage communication with service providers such as insurance brokers, real estate agents, and consultantsHandle sensitive information with absolute discretion and confidentialityOrganize and coordinate internal and external events as requiredSupport in special projects, reporting, and research for the CEOManage last-minute changes, urgent tasks, and unplanned priorities calmly and efficientlyAnticipate needs and proactively provide solutions or support before being askedSkills & QualificationsProven experience as an Executive Assistant or Personal Assistant to senior managementStrong organizational, multitasking, and time management skillsExcellent communication and interpersonal abilitiesHigh level of discretion, integrity, and confidentialityProficiency in Microsoft Office Suite and digital organization toolsStrong attention to detail and follow-through
