Role Impact:To provide administrative support and project assistance to the Senior Vice President, Development and to other team members.What you will deliver:Manage document controls, retention and filingProvide administration and project-related support, including timely completion of research, project assistance and report writingPrepare highly confidential correspondence and organize day-to-day schedules, including travel arrangementsPrepare, edit and coordinate presentations in an accurate and timely mannerComplete expense reports and process invoicesProvide and maintain courteous, professional and efficient service to internal and external clients and business associates by responding to requests for information and redirecting inquiries beyond own scope of expertise in order to maintain good levels of customer serviceIdentify issues that have potential to negatively impact the effectiveness of the department and research and recommend viable solutions to the SVPs in order to ensure department runs at optimum efficiencyOrganize and maintain filing system by ensuring all materials are securely filed on a timely and accurate basis so that documents are readily available and easily retrieved when necessaryOther responsibilities as assignedWhat your strengths are:Excellent written and verbal communication skillsCustomer service focusedTeam playerHigh level of sound and independent judgment, reasoning, and discretionProactive, analytical, and an effective decision-makerProfessional, approachable, and responsive, with a positive work attitudeProficient administration and time management skills, multitasking skills, and the ability to prioritize tasksExcellent writing and proof-reading skills, including proper spelling, grammar, and punctuationAble to write moderately complex correspondenceGeneral mathematical and budgeting skillsComfortable interacting at all organizational levelsAbility to work independently with little supervision in a fast paced environmentSelf-starter with good practical judgment and decision making abilityTact and diplomacyFlexibility in work hours is essential as there may be occasions when overtime is required on short noticeWhat you need to succeed:Grade 12 or equivalentCertificate/diploma in Office Administration an asset3-5 years related work experience including 1 year supporting multiple managersExposure to the Real Estate/Property Management field an assetPrevious experience in handling confidential or sensitive informationProficient skills in Microsoft Office applications including Microsoft Word, Excel and PowerPointWhy you should join us:At Cadillac Fairview we have been transforming communities for over 50 years.
