Role SummaryOur client is seeking an Executive Assistant who will play a critical support role for their CEO. The ideal candidate is a self-starter with excellent communication and organizational skills, capable of making informed decisions on behalf of the CEO. This role involves managing schedules, writing emails, reviewing notes, making recommendations, and assisting with marketing tasks such as content review and social media posts. The EA will also stay on top of leads, review tickets, and break down information into consumable chunks to help the CEO move forward efficiently.WORK SCHEDULE: 8:00 AM – 5:00 PM Mountain Daylight Time (10:00 PM – 7:00 AM Philippine Standard Time), follows Philippine holidaysPOSITION TYPE: Full TimeWORK ARRANGEMENT: RemoteEssential FunctionsManage the CEO's schedule, including organizing and scheduling meetings using OutlookWrite and respond to emails on behalf of the CEOCoordinate with various departments to accomplish tasks as directed by the CEOProvide reminders and updates about upcoming appointmentsMake company announcements at the direction of the CEOAssist with marketing tasks, including content review and social media postsPlan and book travel, including flights, accommodations, and transportation, as well as creating detailed itinerariesOrganize company events, meetings, and conferences, including logistics, scheduling, and coordination with attendeesAssist with the creation of content for presentations, reports, and other business materialsAssist with the onboarding of new employees, including setting up accounts, provide necessary information, and ensure a smooth transitionManage the CRM and ticketing systems, update customer information, and ensure that follow-ups and communications are timely and effectiveOrganize and maintain digital files, ensuring that important documents are easily accessible and up to dateHandle communications with vendors, negotiating contracts, and ensuring that vendor services are delivered as agreedCompile and analyze data to create reports that provide insights into business performance; this can include sales reports, marketing metrics, and other key performance indicatorsOversee and coordinate various projects, ensure deadlines are met, and keep track of project milestones; this includes updating project management tools and communicating with team members to ensure progressPerform other duties as assignedParticipate in company projects, meetings, and objectivesQualificationsHigh School Diploma or equivalent is requiredCustomer-service-oriented with a problem-solving attitudeExperience creating intermediate-complexity Microsoft Word and Excel Documents preferredExcellent written and verbal communications skillsProven time management and scheduling abilities
