Executive Assistant: IT

Job Description

About the position:The Executive Assistant is responsible for providing a range of administrative and operational support to the Chief Information Officer (CIO) and the IT Management Team to optimise the functioning of the department by coordinating communication, managing schedules, facilitating projects and supporting strategic initiatives in alignment with business priorities.MAIN RESPONSIBILITIES:AdministrationManage and coordinate the calendar of the CIO and department calendar, contact lists and project trackers.Arrange meetings for the members of the department including venue, IT support and refreshments.Take, finalise and distribute meeting minutes as required.·Manage onboarding logistics for new IT employees and contractors. Operational CoordinationServe as a central point of contact between the IT department and internal/external stakeholders.Maintain effective communication between IT and other departments to ensure alignment and collaboration.Coordinate and track departmental projects, ensuring deliverables are met on time.Liaise with vendors and service providers for technology-related contracts and renewals and IT equipment.Travel & EntertainmentCoordinate and manage all department travel, including flights, ground transportation, accommodation, and documentation (including visas, etc.) - in liaison with The Travel Department.Make restaurant bookings as required.FinanceManage all department purchase orders, expense claims, invoices and approvals.Assist with the development of the department's Business Plan/Budgets.Create and deliver a monthly report on department performance against the Business Plan.Human Resources (HR)Support the members of the department on any HR-related issues and/or admin (such as leave applications).Take the lead in building team morale by coordinating teambuilding events and celebrations (including birthdays, successful project deliveries, etc.).CommunicationsManage internal department communications to ensure efficient and timeous information flow (Email/Teams/WhatsApp). Coordinate communication efforts during crisis and/or emergency situations.GeneralMaintain good working relationships with other Executive Assistants across the Assore Group.Liase with all parts of the Assore Group on behalf of IT as necessary (e.g., Group Finance, HR, DCM, AIH).EDUCATION: Matric.Diploma/Degree in office Administration, Business management or related.Valid driver’s licence.Certification in IT administration or project coordination will be advantageous.PROFESSIONAL EXPERIENCE:Minimum of 5 years of experience in a similar executive-support role.Experience supporting senior management or executives.Prior exposure to IT or technology-driven departments will be advantageous.COMPETENCIES REQUIRED: Significant attention to detail and accuracy.Significant MS Office proficiency (including Outlook, Teams, Word, Excel and PowerPoint).Strong organisational and time management skills.Ability to multi-task.Excellent interpersonal skills at all levels.Effective communicator (verbal and written).Professional attitude.Maintains confidentiality and is culturally sensitive.Self-motivated and proactive, with high energy levels.Ability to work independently and take responsibility.Flexible and resilient.
