Job Description

Executive Assistant Contract to 13/02/2026 with possible extension| Brisbane CBD + WFHWe’re working with a leading Queensland government client to recruit an experienced Executive Assistant. In this role you will be responsible for ensuring the smooth operation of the division through expert management of communication, governance, and administrative processes..Key Responsibilities:Provide high-level executive and confidential secretarial and administrative services to the Executive Director, adhering strictly to departmental policies.Proactively manage the Executive Director’s complex calendar, arrange appointments, committees, meetings, and conferences (including catering and materials), and provide secretariat support and minute taking as required.Administer the flow of correspondence, ensuring all documentation is accurately recorded and tracked in the Ministerial and Executive Correspondence System (MECS), including follow-up on outstanding items.Undertake essential financial processing activities, including purchasing, processing invoices, reconciling corporate card transactions, and processing travel claims.Assist the Executive Officer in maintaining core financial, HR, and Business Reporting information on behalf of key divisional initiatives.Organise all necessary travel, accommodation, and business arrangements for staff and clients.Build and maintain effective working relationships across the division, department, and with external agencies.What we’re looking for?Proven experience providing high-level executive and secretarial support within a large, complex organisation (public sector experience highly regarded).Exceptional skills in diary management, travel coordination, and meeting secretariat duties (agenda, minutes, action tracking).Demonstrated experience managing high volumes of correspondence and utilizing a records management system (MECS experience is beneficial).Experience undertaking financial processing activities (invoicing, purchasing, corporate card reconciliation).Strong verbal and written communication skills with a proactive approach to building stakeholder relationships.Why apply through Lime Recruitment?Enjoy two pay runs per week without contractor fees.
