Job DescriptionWhat will you do?Act as the key contact for the executive that you will be supporting.Document technical meeting minutes and maintain action items.Manage team moves and changes in workday including vacation tracking and absence managementManagement of compliance reporting tasks such as overdue staff training, expenses, etceteraManage and maintain the executive calendar, coordinate meetings/conferences, ensure all materials/packages, and catering requirements are providedAct as the VP’s delegate for email and phone during absences, handle/forward issues, prioritizing for VP’s action upon returnFor multi-channels develop communications, meeting/conference materials, forms, documents, presentations and spreadsheetsCoordinate all requirements, maintain appropriate records in managing the team, including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the executive teamSupport in the organization of quarterly town halls, employee recognition celebrations, and other team eventsMaintain global distribution list and distributes group-wide communicationsRaise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organizationMust-have2-5 years’ experience in office administration and providing support to senior-level management or relevant experienceStrong interpersonal and diplomacy skills. Comfort in dealing with individuals across all levels of the organizationAbility to thrive in a collaborative environment with a strong capability to prioritize activities.Ability to work in a fast-paced environment. Adapt to change and navigate continuously shifting requirementsAbility to work efficiently and accurately with minimal supervisionProficient in Microsoft Word, PowerPoint, Excel, and Outlook.
