About Us:We are a leading real estate development company, recognized for delivering exceptional projects globally and setting new benchmarks in the industry.We are looking for Executive Assistant to provide high level administrative support for the senior executives while ensuring the smooth and efficient daily operation of the office. This role is pivotal in managing executive schedules, coordinating communications, and overseeing office administration, acting as the central hub for both executive and office needs in a fast-paced real estate environment.Key Responsibilities:Executive Support:Manage complex calendars, schedule meetings, and coordinate appointments for senior executives.Act as the primary point of contact between executives and internal/external stakeholders, including clients, investors, and government officials.Prepare and edit correspondence, communications, presentations, and reports.Organize and prepare documentation for executive meetings, including agendas and minutes.Handle confidential and sensitive information with discretion.Office Management:Oversee the daily operations of the office, ensuring a professional and efficient work environment.Manage office supplies, inventory, and equipment; liaise with vendors and service providers.Coordinate with IT support for office infrastructure and staff needs.Implement and maintain office procedures and filing systems.Greet visitors and manage front-desk activities, creating a positive first impression.Real Estate-Specific Administration:Assist in the preparation of client-facing materials, such as property portfolios and investment summaries.Support the sales and leasing teams with administrative tasks related to listings, contracts, and client communications.Help coordinate property viewings and marketing events.Maintain and organize critical real estate documents, including legal contracts, permits, and client files.Required Qualifications & Skills:Experience: 3-5 years of proven experience as an Executive Assistant, Office Manager, or similar role, preferably within the real estate, construction, or a related industry.Education: Bachelor’s degree in business administration, Management, or a relevant field.Technical Skills:Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Excellent written and verbal communication skills.Language Proficiency:Mandatory: Fluency in Azerbaijani and English.Highly Desired: Proficiency in Russian.Personal Attributes & Competencies:Exceptional Organizational Skills: Ability to multitask and prioritize effectively in a dynamic environment.Proactive & Resourceful: A self-starter who anticipates needs and takes initiative.Professional Discretion: High level of integrity and confidentiality.Strong Interpersonal Skills: Ability to interact confidently with all levels of management and clients.Problem-Solving: A solutions-oriented mindset with great attention to detail.What We Offer:Competitive salary and commission-based incentives.A dynamic and professional work environment.Career growth opportunities in a leading real estate firm.If you have the required experience and skills, and you're ready to take on a challenging yet rewarding role, we’d love to hear from you!How to Apply:Send your resume to Talent@reportageuae.com " Executive Assistant – Azerbaijan."
