This means that you’ll not only manage the operational activities but also demonstrate what great looks like by helping to manage busy schedules, coordinate key processes and meetings, and ensure that information and decisions flow seamlessly. You’ll bring initiative, discretion, and great communication skills, and you’ll enjoy building strong connections with people across all levels of the University.Ngā Haepapa Matua | Key Responsibilities (not limited too)Timely and effective diary management for leaders you support, including prioritising, rescheduling, and coordinating logisticsManaging the leader’s email inbox through filtering, responding, and organising messages to ensure important communication isn't missed.Coordinating activities, processes, and workflow of the leaders you supportDrafting, formatting, and enhancing documentation, including correspondence, presentations, and reports.Be available on campus to support meeting and forum arrangements, including room and technology set-up and visitor greetingsThe role is a full-time, permanent role (37.5 hours per week)The remuneration is $ 62,400 - $ 82,400 per annum, dependent on skills and experience.For more information about this role, please refer to the Position DescriptionHe kōrero mōu | About youWe’re seeking confident and experienced Executive Assistants who excel in a busy and complex environment and take pride in delivering effective support. To succeed in this role, you’ll bring:Experience (5+ years) supporting leaders as either a Personal Assistant, Executive Assistant or with senior administrative experience.Exceptional organisational and time management skills, with the ability to anticipate needs, manage multiple priorities, and stay calm under pressure.Outstanding communication skills – written, verbal, and interpersonalHigh-level proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and a natural ability for learning new systems and tools, including AIProactive, solutions-focused approach, demonstrating sound judgement, discretion, and professionalism in handling sensitive and confidential information.Ngā āhuatanga kei a mātou | What we offerThe University of Auckland is New Zealand's leading University and maintains significant computational, laboratory, and analytic facilities.
