The opportunityWe are looking for an Executive Assistant to support our Vice President of MACH Products. You will become the right hand of the manager and provide executive support to maintain a high level of leadership – a central and important part of our Technology development journey.You will have the joy of being the spider in the web, manage communication between upper management and employees, coordinating with internal and external executives on various projects & tasks and plan and orchestrate work to ensure that priorities are met, organizational goals are achieved, and best practices are upheld.We offer you an exciting and dynamic role with close collaboration with customers, partners, other departments and teams at Hitachi Energy both locally and globally.How You'll Make An ImpactMain task is to manage professional and personal service support and scheduling for the manager, including agendas, mail, email, calls, travel arrangements, client management, and other company logisticsCoordinate scheduling and extensive calendar management, as well as management of content and flow of information to senior executivesArrange internal/external events, for example travel arrangements, itineraries, accommodation, conferences, visiting speakers etc.Organize team communications and plan events, both internally and offsitePerform administrative and management support, such as Minutes of Meetings (MoM), preparation of presentations, spreadsheet creation and maintenance of administration systemsAdministration and coordination of signatures of various documents while keeping professionalism and confidentialityResearch, compile, verify and analyse information and issue special reports, presentations, organization charts, process maps, correspondence, etc. Coordinate meetings, agendas, MoM, actions and follow-upYour backgroundYou have been working as an Executive Assistant (or in a similar role) and you are comfortable in representing the executive office. You understand the dynamics of large cooperations and how to navigate in complex organizational matters You are eager to learn, always see opportunities in a challenge and you are a person that wants to make a differenceFlexible and service-minded team player willing to adapt to changes and enjoys a challengeSocial and positive. You enjoy working close to your manager and create a tight and efficient collaborationHard working, willing to learn and have the ability to walk the extra mile when neededTime-management skills and the ability to organize, prioritize and coordinate multiple projects at onceGreat written and verbal communication skills, in English and SwedishProficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systemsIt is a merit to have knowledge about and experience of working in our business systems, for example eTime, Easy Procurement, Fieldglass, MyIS, Basware, Teams events, VisioExperience developing internal processes and filing systems is also a plusMore About The RoleThe Vice President is travelling quite frequently, lots of cooperation & communication will be over phone, mail and other digital channels. For you this is not an issue as you are used to working independently.MACH is running operation in Sweden, Poland, India and China.
