Job Description

We are looking for a highly organized and proactive Executive Coordinator to support the company’s senior management team in managing daily business operations, communications, and project follow-ups. This role requires exceptional organizational skills, attention to detail, and the ability to coordinate multiple functions — including administration, project management, and cross-departmental communication.The ideal candidate is a natural multitasker, efficient communicator, and dependable right hand to senior leadership.Key Responsibilities:Executive & Administrative Support:Provide comprehensive support to the CEO and senior management, including calendar management, travel arrangements, and meeting coordination.Draft and manage emails, reports, presentations, and internal communications on behalf of management.Prepare agendas, minutes, and action trackers for management meetings and follow up on deliverables.Handle confidential and sensitive information with discretion and professionalism.Project & Task Coordination:Assist in the planning, organization, and execution of business projects and initiatives.Track project timelines, deliverables, and progress reports to ensure timely completion.Maintain and update internal dashboards for ongoing tasks, deadlines, and priorities.Coordinate with cross-functional teams (sales, marketing, operations, finance) to ensure alignment and progress on management objectives.Operational Efficiency:Support daily operations by ensuring smooth communication and process flow between departments.Identify bottlenecks or operational inefficiencies and suggest process improvements.Prepare weekly and monthly reports summarizing company activities, KPIs, and updates for management review.Internal & External Communication:Serve as the point of contact for external stakeholders, partners, and vendors on behalf of management.Assist in organizing meetings, conferences, and business events.Manage follow-ups on correspondence, ensuring timely responses and actions.Qualifications & Skills:Bachelor’s degree in Business Administration, Management, or a related field.3–5 years of experience in executive coordination, administration, or project management (FMCG or food industry preferred).Strong organizational, multitasking, and time management skills.Excellent written and verbal communication and presentation skills.Proficiency in MS Office (Excel, PowerPoint, Word) and collaboration tools (Google Workspace, Asana, Trello, Notion).Professional, discreet, and trustworthy with a strong sense of ownership.Fluent in English (Arabic is a plus).Why Join Us?Work closely with top management in a dynamic, growing premium chocolate brand.Gain exposure to multiple departments — from marketing to logistics — and play a key role in company success.Competitive salary and growth opportunities.Be part of a creative, ambitious, and collaborative team shaping the future of the brand.Location: Dubai, UAE Employment Type: Full-time
