Job Description

Responsibilities: Manage the CEO’s complex calendar, scheduling, and travel arrangements with efficiency and accuracy. Anticipate needs, plan ahead, and ensure seamless coordination of meetings, events, and engagements. Prepare detailed itineraries, logistics plans, and briefing materials for meetings and business trips. Serve as the primary point of contact for internal and external stakeholders. Handle correspondence, calls, and meeting requests with professionalism, discretion, and sound judgment. Coordinate high-level meetings, events, and engagements with clients, partners, and government officials. Liaise with subsidiaries, divisions, and project teams to ensure timely submission of reports and updates to the CEO. Prepare, review, and refine business correspondence, reports, and presentations in alignment with corporate standards. Support the CEO in strategic planning, project tracking, and monitoring key management deliverables. Draft speeches, briefing notes, and communication materials for internal and external events. Track meeting decisions and ensure timely follow-up and closure of action items. Serve as Secretariat for management and board-related meetings, including agenda preparation, document compilation, and minute-taking. Ensure compliance with governance requirements and alignment with company policies and standards. Support corporate communication initiatives led by the CEO’s Office, including the drafting of executive memos, announcements, and internal messages. Maintain strict confidentiality and exercise sound judgment in handling sensitive and high-level matters. Requirements: Master’s or Bachelor’s degree in Business Administration, Management, Law, or a related field. Certification in Executive Assistance or Secretarial Studies is an advantage. Minimum 3 years of experience in executive support, stakeholder coordination, or client relations — preferably in a corporate, project, or operations environment. Proven track record in managing executive schedules, stakeholder communications, and confidential matters. Experience in board governance, corporate communications, or business strategy support is an advantage. Strong attention to detail with the ability to manage multiple priorities under tight deadlines. Digitally proficient — skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and presentation tools (e.g., Canva, Visme). Professional in appearance, confident, and composed when engaging with senior leaders and external stakeholders. Demonstrates integrity, discretion, and emotional intelligence. Proactive, resourceful, and capable of anticipating the needs of the CEO and the organization. Excellent command of both English and Bahasa Malaysia (written and spoken); proficiency in additional languages is an advantage.
