If you are interested in building global challenger brands, scaling a business, and working in a values-driven environment, we want to hear from you!The OpportunityThe Executive & Legal Administrator provides timely, efficient, and confidential administrative support to the office of the Chief Executive Officer (CEO) and Chief Legal Officer (CLO), Vice President of Strategy & Chief of Staff, and Board of Directors. This dynamic position requires a self-starter with superior time management and communication skills (oral, written and electronic), along with the ability to anticipate, think critically and offer solutions, while operating with a high level of professionalism, diplomacy and discretion. This individual will enjoy working in a fast-paced environment that is purpose and results driven and will be keenly interested in improving and streamlining the services delivered by the Legal department.ResponsibilitiesAct as the primary liaison and Executive Assistant for both internal and external stakeholders on behalf of the Chief Executive Officer, Chief Legal Officer, Vice President of Strategy & Chief of Staff, and the Board of Directors—handling matters of a highly confidential and sensitive natureAccountable for a broad range of administrative duties such as booking and coordinating meeting arrangements for key members of the Legal organization, providing and compiling business critical information, preparing agendas, monthly scorecards, reports and presentations, responding to and directing incoming inquiries, and special projectsScheduling correspondence, monthly expense reports, review incoming documents, etc.Review and closely track the Executive team’s budgets and accounts payable in cooperation with Finance team. Review incoming invoices for compliance with department billing policies and address issues with external service providers. Ensure timely accrual, approval, and payment of accountsSupport other Legal department personnel in managing Board of Directors meetings and documents as requiredManage the calendars, schedules, appointments, and business travel for the senior level team as well as preparing meeting documentation, presentations, and catering as requiredRepresent the Legal team by answering questions and coordinating required meetings with internal and external partiesCoordinate project-related activities and facilitate project communications, both verbally and through electronic meansSupport the Executive team in executing and tracking performance management, professional development and employee engagement activities for the departmentHandle phone calls, e-mails and inquiries and ensure that queries are directed to the proper personParticipate in the preparation, drafting and edits of strategic planning documents, operating plans and training materials, including preparation of slide decks, agendas and other meeting materialsCandidly advise the Executive team on matters pertaining to department operationsProactively anticipate roadblocks and work to mitigate their impact; ultimately assisting where required in expediting resolutions, and contributing to team successMaintain and manage document management system through ongoing migration and organization of legal documentsPrepare various legal documents, including but not limited to correspondence, emails, non-disclosure agreements and other legal or administrative documents as requiredPrepare and file (when required), corporate documentation, including annual filingsAssist with drafting continuous disclosure documents, including AIF and Information circularAssist with collection and drafting of precedentsMaintaining multiple minute booksDrafting general corporate documents including documents relating to incorporation and organization, amalgamations, complex amendments, continuances, and dissolutionsAssisting on complex transactionsOther duties as assignedExperienceExperience as an Executive Assistant supporting a C-suite level ExecutiveCollege Degree or equivalent experience is an assetIn-depth knowledge and proficiency in the use of Microsoft Office, including but not limited to Word, Excel, PowerPoint, Teams, and SharePointOutstanding oral, written and electronic communication skills; must be able to work with and collaborate with internal and external stakeholdersDemonstrated aptitude to prioritize tasks based on comparative importance and urgencyMust be comfortable with legal terminology and have a strong understanding of legal contracts, agreements and other business and legal documentsAbility to work with minimal supervision and direction within a fast-paced, deadline-oriented environmentStrong attention to detail and demonstrated ability to provide a high level of accuracySolid judgment and decision-making abilityProven experience working in a professional manner: ability to handle sensitive information with a high degree of confidentialityExperience working in a legal professional environment is not necessary but is considered an extremely valuable asset Other DetailsThis is a full-time, remote-first position based out of Toronto, Smiths Falls, or Ottawa.
