Executive Secretary [ JLPT N2 ]

Job Description

Serve as a strategic partner and trusted support to the President & CEO of Honda Asia & Oceania Region, ensuring smooth coordination, effective communication, and professional representation of the Executive Office across multiple countries.Key Responsibilities:• Prepare and manage executive budgets (business trip, entertainment, meeting, etc.) and analyze monthly variable gaps submit for approval and reporting to A&F.• Manage and coordinate schedules, appointments, and related matters for top management.• Communicate and coordinate with related divisions, drivers, and support staff to handle personal requests such as driving license renewal, hospital health check arrangements, and passport handling.• Conduct regular discussion meetings ( weekly 1–2 times per month) with top management to review and adjust schedules or priorities.• Support all aspects of executive business trips, including visa applications, flight and hotel reservations, and expense clearance.• Confirm trip-related details such as dress code, event information, speeches, and food preferences.• Provide hospitality support for management guests, including hotel and restaurant reservations and airport services.• Assist in event preparation by conducting venue checks, ensuring all arrangements are in place, and escorting top management during events.• Coordinate annual Honda Group Secretary Meeting and related activities.Additional DutiesBuild strong relationships with Honda Group Secretary and external parties.Provide hospitality support for management guests.Prepare and manage executive budgets, analyze variances, and report to A&F.Qualifications:Bachelor’s degree in Business Administration, International Relations, or a related field.Minimum 3–7 years of experience in an Executive Secretary, Executive Assistant, or Executive Office role supporting C-level management, preferably in a multinational or Japanese company.Proven ability to manage sensitive information, anticipate executive needs, and handle complex coordination under time pressure.Strong organizational and multitasking skills with high attention to detail and proactive mindset.Excellent interpersonal and communication skills for coordination with both internal and external stakeholders.High level of discretion, confidentiality, and professionalism in handling sensitive information.Excellent written, and verbal communication skills in English (TOEIC 800+ or equivalent).Fluency in Japanese (JLPT N2 or above) – capable of professional-level communication with Japanese management and HQ.Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).Experience in regional coordination, business trip management, executive-level event organization and budget preparation is an advantage.Demonstrated professionalism, service-minded attitude, detail-oriented, and ability to work independently with sound judgment.Working Location: Sarasin Building, Silom, Bangrak
