Position: Executive Secretary Location: LusailPosition Overview: We are seeking a highly organized, efficient, and proactive Executive Secretary to provide comprehensive administrative and secretarial support to the department. The role focuses on ensuring smooth daily operations, managing documentation, coordinating communication, and supporting management with high-quality administrative assistance.Key ResponsibilitiesProvide administrative and clerical support to the department and management team.Manage calendars, schedule meetings, and coordinate appointments.Handle incoming and outgoing correspondence, including emails, letters, memos, and internal communications.Maintain and update filing systems, ensuring accuracy, confidentiality, and proper document control.Prepare, format, and edit reports, presentations, and general documentation as required.Organize departmental activities, meetings, and follow-ups, ensuring timely coordination.Coordinate communication between internal departments and external stakeholders as needed.Track deadlines and ensure timely submission of required documents and reports.Prepare meeting minutes and maintain proper records for future reference.Assist with routine administrative tasks such as data entry, document preparation, and basic review.Support the management team with day-to-day operational requirements and administrative tasks.QualificationsBachelor’s degree in administration, Business, or a related field.Minimum of 3 years of experience as an Executive Secretary or in a similar administrative role.Strong organizational, multitasking, and time-management skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Excellent written and verbal communication skills.High level of professionalism and ability to maintain confidentiality.Strong attention to detail and accuracy in documentation.Ability to work under pressure, meet deadlines, and manage multiple priorities effectively.
