We are driven by precision, professionalism, and execution speed, led by an experienced executive team focused on sustainable growth and market impact.About the RoleWe are seeking a highly professional and detail-oriented Executive Secretary to directly support our Chief Executive Officer who oversees several companies. This role is crucial to managing daily executive operations, coordinating schedules, handling high-level communications, and representing the CEO when needed.Key ResponsibilitiesStrategically manage and prioritize the CEO’s dynamic calendar, ensuring alignment with business priorities, board meetings, and cross-company obligations.Plan, coordinate, and support executive and board-level meetings, including agenda development, compiling board packets, taking formal meeting minutes, and tracking follow-ups with stakeholders.Act as a gatekeeper and liaison, professionally managing communications between the CEO and internal/external stakeholders, including senior leadership, board members, clients, and partners.Draft, edit, and format high-level communications and documents, including investor updates, strategic proposals, executive reports, and presentations with precision and professionalism.Represent the CEO in high-touch interactions, welcoming and engaging visitors, executives, and dignitaries when the CEO is unavailable — ensuring a premium experience.Provide direct support on CEO-led initiatives, tracking key projects, following up on deliverables, and ensuring alignment across departments and subsidiaries.Coordinate domestic and international travel, prepare detailed itineraries, and ensure smooth logistics before, during, and after business trips.Maintain strict confidentiality in handling sensitive business matters, legal documents, strategic decisions, and personnel issues.Proactively foresee needs, resolve issues before they arise, and operate with sharp judgment and initiative in a fast-paced executive setting.RequirementsFluent in English (both spoken and written) — mandatory.Minimum of 3 years of experience in an executive assistant or executive secretary role.Exceptional organizational, time-management, and multitasking skills.Strong communication skills with a professional presence.Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).Self-starter with high attention to detail and the ability to work independently.
