CEMS-Global is looking for Executive / Sr. Executive -International CoordinationJob Description / ResponsibilityReporting To: Group CEO, CEMS Global-USAJob Responsibilities:Website Management: Regular monitoring of company websites to ensure all event-related information is updated and accurate.Exhibition Materials: Preparing and updating Expo Profiles & Overviews, Post Show Reports, Exhibitor Manuals, and Vendor Lists for each exhibition.Client & Agent Queries: Handling inquiries across different platforms and coordinating with relevant departments and country offices.Documentation: Preparing and distributing key documents such as VISA Invitation Letters, CESA Agreements, and Exhibition Permission Letters from ministries.Client/Agent Data Management: Regularly updating client and agent information in the CEMS Suite database.Client/Agent Communication: Continuous follow-up with agents and clients for exhibition promotion, payment, booth allocation, and required documents.Accounts Coordination: Issuing invoices, maintaining project and invoice statements, and assisting with international payment coordination.Inter-Departmental Coordination: Collaborating with IT, Creative, Operations, and Marketing departments for exhibition-related activities and materials.Market Research: Identifying new exhibition ideas and staying updated with global trade show trends.Floorplan Management: Updating booth plans daily based on bookings and management instructions.Furniture & Extra Requirements: Managing pre-orders from agents/clients for additional booth requirements.Event Materials: Assisting with fascia, crest, and coordination file preparation in collaboration with the Operations and Creative teams.Directory Book Compilation: Collecting, editing, and formatting Catalogue Profiles for the Exhibition Directory Book.On-Site Support: Assisting Operations during setup and exhibition days for booth verification and logistics.Lead & Query Handling: Managing all leads and queries received via Respond.io, email, or other platforms.Finance Coordination: Managing and issuing invoices for all international transactions.Cross-Department Coordination: Maintaining seamless communication with all relevant internal and international teams.Educational RequirementsMBA in Marketing/International Business /International Relations from a reputed university.Experience RequirementsAt least 4 year(s)Additional RequirementsExperience: 4 Years of relevant experience in International Marketing preferred. Foreign Client Management experience will be given preference.Skills & Expertise:Excellent Communication Skills, both verbal and written.Effective Coordination Skills to manage cross-departmental activities and ensure smooth operations.Proven Leadership and Teamwork abilities with the capacity to work collaboratively in a dynamic environment.Strong Reporting and Documentation skills with attention to detail. Ability to work under pressure and achieve assigned targets within deadlines.Proficiency in MS Office applications (Word, Excel, PowerPoint, and Outlook) is mandatory.Excellent Time Management Skills with the ability to prioritize multiple tasks efficiently.
