The role focuses on coordinating technical (hard) services, managing contractors and vendors, overseeing planned preventive maintenance (PPM) schedules, and ensuring that all works are completed safely, efficiently, and to high service standards.What You'll DoHard Services Operations Coordinate day-to-day building maintenance, including M&E, HVAC, plumbing, fire safety, and building fabric systems within the corporate offices. Ensure all systems are functioning effectively to support a premium workplace and guest experience. Support both planned and reactive maintenance works, ensuring minimal disruption to business operations. Managing specialise systems such as UPS, CRAC, data rooms Planned Preventive Maintenance (PPM) Maintain and manage PPM schedules, ensuring statutory and non-statutory tasks are completed on time. Liaise with contractors to plan works in line with operational requirements and business activity. Keep accurate records of maintenance activities, ensuring all certificates and reports are stored and up to date. Contractor & Vendor Management Act as the main liaison for hard services contractors and specialist vendors, ensuring performance and compliance with SLAs and KPIs. Manage contractor onboarding, site inductions, and permit-to-work processes. Review risk assessments and method statements (RAMS) prior to work commencement. Raise purchase orders, review quotes, and verify invoices in line with budget controls. Compliance & Health and Safety Ensure all maintenance activities are carried out safely and in accordance with statutory regulations and company policies. Support regular compliance audits and inspections, including fire, water, electrical, and air systems. Maintain documentation to demonstrate compliance with all relevant standards. Customer Service & Workplace Support Act as a key contact for internal stakeholders, ensuring all facilities requests are handled promptly and professionally. Maintain a strong presence on-site, supporting workplace experience teams and ensuring service excellence. Coordinate with soft services teams (cleaning, front-of-house, catering) when technical works may impact daily operations. Reporting & Administration Prepare maintenance performance reports and track completion of PPM and reactive works. Use CAFM/CMMS systems to manage work orders, log jobs, and maintain asset registers. Support budget tracking and assist with cost reporting related to hard services. What You'll Need Proven experience as a Facilities Coordinator or Maintenance Coordinator in a corporate office or hospitality environment – Minimum of 3 years’ experience Strong hard services background (mechanical, electrical, HVAC, or building systems). Demonstrated experience in contractor and vendor management, including KPI oversight. Sound understanding of PPM scheduling, asset management, and CAFM/CMMS systems. Excellent communication, organisation, and stakeholder management skills. High level of customer service awareness and ability to operate in a client-facing environment. Knowledge of statutory compliance and health & safety requirements in facilities management. Qualifications (Preferred) ONC/HNC or equivalent in Building Services, Electrical, or Mechanical Engineering. IOSH Managing Safely or equivalent health & safety certification. Experience using CAFM / CMMS systems Attributes Professional, proactive, and service-oriented. Strong problem-solving and multitasking skills.
