Job Description

Responsibilities and Duties:Coordinate with Facilities Management team, businesses, Service Providers for all facility management related activities.Dealing with maintenance complaints, forwarding it to the concerned person and to ensure the job is complete.Evaluates situations and events (e.g. involving other staff, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.Coordinate with respective company's PRO for the facility related legal transactions.Maintains the record of all the company fleets, maintenance report, accommodation and vehicle renewal process.Dealing with renewals of Maintenance Contracts, cross check the scope and amount payables.Prepare the duty roaster for the security personnel.Review the security report on a daily basis and update Facility & Admin Manager if any non-compliance reported.Provide high-level administrative support to the departmental leadership including preparation of correspondence, records and other clerical documentation on a daily basis.Perform clerical dutiesManage the calendar and work schedule of the departmental leadership team to ensure effective time management is maintained with availability for daily meeting requirements and schedulesResponds to inquiries from a variety of internal and external parties.Perform other related tasks as assigned by the immediate Supervisor/Manager.Accountabilities:Perform duties to the highest possible quality and standard Qualifications:Business Management/Certificate in Secretariat or any related courseYears of Experience:Minimum 2 years of work experience in the administration.Person Requirements:Time managementWork to deadlinesWork on own initiativeStrong analytical skills, organized, and proven time management skills.Excellent verbal and written communication skills in English. Excellent in computer applications, including Microsoft Office.Communication and Interaction:Internal: Management, Middle Management, Senior Staff and Staff. External: Consultants, Suppliers, Governmental Entities, or as otherwise directed by Management.
