Specializing in residential and commercial lighting, we pursue functionality and efficiency in our lighting design without compromising on aesthetics. We take lighting design to the next level and go above and beyond to meet your lighting requirements to create a ‘wow’ effect. This role requires a detail-oriented and experienced professional to manage critical operational, financial, and administrative functions, with a strong focus on accuracy, compliance, and process improvement.Key Responsibilities1. Payroll ManagementManage and process payroll for salaried employees through a third-party payroll provider.Serve as the primary point of contact with the payroll provider, diligently monitoring and following up on all transactions to ensure accuracy and resolve errors promptly.Administer the payroll system, which requires monitoring and calculating hours based on real-time vehicle tracking data (SOP training required).Implement and enforce procedures for tracking non-salaried employee time, including monitoring a web-based time clock system and cross-referencing hours with GPS/tracking data to prevent manipulation.2. Finance and BookkeepingAct as the liaison between the company, external bookkeeping services.Gather and submit monthly financial information to the external bookkeeping firm.Manage accounts payable, ensuring vendors are paid according to strict terms.Process vendor payments based on internal advisement of invoices due.Perform complex credit card management, including strategic balancing and inter-card payments to optimize cash flow and avoid penalties.Maintain a weekly financial spreadsheet to track cash position, plan vendor payments, and prioritize financial obligations under cash-constrained conditions (SOP training required).3. Estimating, Quoting, and ProcurementReview, verify, and finalize client quotes prepared by others, specifically checking for spreadsheet formula errors and data integrity.Adjust Gross Profit (GP) margins on quotes based on company policy.Determine and apply appropriate client discounts, including making necessary adjustments to the quote structure (SOP training required).Perform measurements and create drawings for specialized permanent installations, often using tools like Google Earth.Generate and send multiple quote options (2-3) for permanent lighting projects. Coordinate weeklyZoom calls with product distributors to review and finalize orders.Oversee the order placement process with manufacturers, which requires learning product specifics and reviewing order details.4. Soft Human Resources (HR)Manage routine employee issues and inquiries as they arise. Coordinate with the external HR consulting firm on retainer for critical or complex HR matters (as needed).Required Skills and QualificationsProven experience in a role requiring complex financial management, including payroll, accounts payable, and credit management.Demonstrated ability to manage tight deadlines and handle complex financial juggling acts under cash flow constraints.Strong proficiency in spreadsheet software (e.g., Excel), with the ability to identify and correct formula errors.Excellent communication skills for managing external vendors and internal staff.High level of attention to detail and a commitment to data accuracy, particularly in payroll and estimating.Capacity to quickly learn and document critical Standard Operating Procedures (SOPs).
