What You'll Do: Receive and direct visitors, employment applicants, vendors, and customers to appropriate locations and partiesGreet and communicate effectively with all customers and vendors, both internal and external, in a professional and courteous mannerTriage all incoming phone calls and route to the appropriate employees using a multi-line and computer-based telephone systemEffectively answer customer inquiries or route to appropriate parties as necessarySort and distribute incoming mail and process outgoing mail including FedEx and UPS mail. Maintain funds on postage machine.
Assist with distribution of incoming courier deliveriesMaintain a visitors' log and issue visitor badgesOrder business cards and office supplies as neededUpdate and maintain company online directory, including taking picture of new employees, gathering information and posting on internal company intranet siteProvide back up support to other adminsSchedule meetings in Microsoft OutlookMaintain desk procedure manual on an ongoing basisMaintain "Helpful Information" data on company intranet siteRun company errands to post office, grocery store and/or office supply storeAssist with special projects as requested, including printing documents, flight itineraries, expense reports, data entry, credit card authorization, as well as event shopping and food set-upProvide occasional support for Executive offsite eventsOther duties as assigned RequirementsWhat You'll Need:
High school education or equivalent requiredSome higher education or vocational training preferredMinimum 2 years of previous administrative experience with at least 1 year previous reception experience with a multi-line phone systemAbility to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards. Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standardsPhysical ability to use computer hardware/software requiredSome lifting (up to 30 lbs. ). Long hours on computer keyboard.
