You’ll combine front-of-house duties with hands-on facilities coordination, helping make the workplace a positive, well-organized, and productive environment.Job Description🔑 Key Responsibilities:Act as the main point of contact for all employee and visitor needsGreet and assist visitors; manage security and access badges; coordinate meeting rooms and parkingVendor relationship management for key office services (coffee/snacks, supplies, shredding, first aid, plants, HVAC, janitorial, etc.)Liaise with property management on all building/site issuesServe as liaison between Workplace and other departments (Safety, IT, HR, Benefits, Legal, Marketing, etc.)Schedule and track work orders via C&W’s CMMS to ensure timely completionSupport implementation of workplace programs and operations, including:Handling internal service requestsManaging office repairs, furniture moves, and space utilizationCoordinating safety programsManaging budget tracking, purchase orders, invoices, and expensesSupporting new hire orientations and workstation assignmentsPlan, coordinate, and help facilitate social and wellbeing events (Wellbeing, Giving & Doing, Belonging & Diversity, Benefits, and more)Carry out additional ad-hoc duties as requiredWhen required by location:Manage reception, greeting, and visitor servicesOversee mail and shipping (receiving, delivering, sending)Maintain office supplies, stock levels, and overall office aesthetics💡 Personal Attributes & SkillsStrong interpersonal and communication skills with a customer-service mindsetTeam player with the ability to motivate and coordinate supplier teamsHighly organized, proactive, and detail-orientedAble to stay calm and solve problems logically in fast-paced or unexpected situationsExcellent multitasking abilitiesPositive, approachable, and professional attitude📚 Knowledge & Experience2+ years of experience in Facilities Management, Office Management, or Reception (preferably in an international environment)Experience managing vendors and working with cross-functional teamsProficient in Microsoft Office tools (Word, Excel, PowerPoint, SharePoint, Outlook, OneDrive, Planner, etc.)Knowledge of budgeting and financial trackingFluent in written and spoken EnglishINCO: “Cushman & Wakefield”
