We are seeking a Document Controller responsible for organising and managing documentation, ensuring its accuracy and compliance with company policies. The role includes supporting project teams and stakeholders by providing efficient access to necessary documents. Job description: Maintaining and updating document control systems (e. g. , SharePoint, Sharecat, Therefore, Documentum) to ensure accurate storage, categorisation, and accessibility of documents. Receiving, logging, tracking, archiving, and distributing documents to relevant stakeholders while ensuring confidentiality and security.
Ensuring documents are correctly named, numbered, version-controlled, formatted, and compliant with corporate, client, and regulatory standards. Reviewing documents for accuracy and completeness, ensuring appropriate approvals and signatures before distribution. Collaborating closely with project teams, departments, and external parties to ensure timely submission and retrieval of documentation. Supporting and guiding staff on document control procedures and systems, promoting effective information flow. Conducting regular audits to ensure compliance with document control procedures and corporate policies. Preparing reports on document status, revisions, and distribution as needed. Identifying and implementing improvements in document control processes and systems, staying aligned with industry best practices.
Requirements: Bachelor's or master's degree (VŠS/VSS) in business administration, information management, or a related field (preferred). 2 years of experience in document control, records management, or a similar role; experience within construction, engineering, or project-oriented industries is an advantage. Knowledge of document control softwares (e. g. , SharePoint, Sharecat, Therefore, Documentum) and electronic document management systems (EDMS). Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant digital tools. Proficient knowledge of Croatian and English, both written and spoken. Excellent organisational and time management skills. High attention to detail and accuracy. Effective communication and interpersonal skills.
Ability to work independently and collaboratively within a team environment. Willingness to occasionally travel and perform field work abroad as needed.
