The HR Assistant will work closely with the HR Manager in promoting a culture of transparency, inclusion, and operational excellence. Key Responsibilities:
Administrative SupportMaintain and update coworker records (digital and physical)Prepare HR documents such as contracts, letters, and formsAssist in organizing staff files in compliance with internal SOPsRecruitment & OnboardingCoordinate job postings and application trackingSchedule interviews and communicate with candidatesSupport onboarding processes, including orientation and documentationCompliance & RecordkeepingTrack leave, attendance, and probation periodsEnsure accurate documentation for NAPSA, NHIMA, and other statutory requirementsAssist in preparing reports for audits or internal reviews Coworker Relations & SupportRespond to routine HR queries with professionalism and confidentialitySupport implementation of workplace policies and proceduresHelp facilitate trainings or awareness sessions (e. g.
, child protection, anti-fraud) Communication & CoordinationDraft internal memos, meeting invites, and HR-related announcementsLiaise with departments to ensure smooth HR operationsAssist in organizing HR meetings and maintaining minutesAdministrative DutiesManage documentation and medico-legal correspondenceAdhere to hospital policies and HPCZ ethical guidelinesParticipate in audits, clinical meetings, and continuous professional developmentQualifications & Skills: Full Grade 12 CertificateDiploma in Human Resources Management, or related Business field. Degree added advamtageMinimum 1- 3 years practical experienceRegistered member of the Zambia Institute of Human Resources Management. Strong communication, teamwork, and decision-making skills
