Title : HR CoordinatorLocation: 1645 Inkster Blvd, WinnipegBenefits of working at Arctic Co-ops include:a competitive salary,annual bonus potentialannual vacation (accrue 3 weeks of paid vacation time in first year),employer-matched pension plan,comprehensive group benefits plan including General Flexible Spending Accounts,career development opportunities,annual performance plans,an environment where employees are encouraged, supported and recognized,hybrid work environmentPosition SummaryReporting to the Manager, Human Resources, and as a member of the Human Resources team, the Human Resources Coordinator is responsible for the administration of confidential Human Resource functions including recruitment and selection, some payroll-related functions, developing and maintaining various reports, and research and correspondence for various HR related activities and projects.Duties and Responsibilities:· Assist with Recruitment & Selection of new hires for Co-op management positions, Inns North hotels, Home Office, and Arctic Co-ops businesses, which will include the following:o pre-screening of candidateso coordinating and/or conducting preliminary interviewso conducting reference checkso requesting criminal and credit background checkso booking travelo following up with candidates regarding the status of their applicationo preparing job offer letters & contract extensionso conducting exit interviews with departing employeeso conducting stay interviews with new hires within their first three months of employment· Administer content updates on the Arctic Hub (internal intranet) which includes drafting and scheduling staff announcements/or updates, maintaining HR files and forms and updating staff photos in the directory· Perform employee account setup and probationary reviews in Trakstar· In conjunction with the HR team, review of mid-year and year-end employee reviews in Trakstar for Home Office; provide coaching/feedback to leaders and employees on reviews· Organize and/or attend career fairs, both virtual and in-person· Coordinate orientations for new hires as required in conjunction with Learning & Performance team· Oversee temporary staffing needs of all areas; maintain relationship with staffing agencies to fill required positions & monitor progress of temporary staff· Coordinate internships & summer student co-op positions through colleges & universities; conduct on-campus interviews with U of M Asper school of business candidates· Develop external ads as required, determining appropriate external resources for ad placements & work with hiring managers to determine ad content. Suggest alternate ways of advertising to increase volume of applicants. Oversee Indeed account and work with rep to negotiate our pricing package & make suggestions to amend the package as necessary· Coordinate various Home Office programs, such as Take Your Kids to Work Day· Perform general human resource administrative functions including electronic file management, correspondence, verification letters, expense claim reports, FCL login requests, Removal of Access (ROA), maintenance of various spreadsheets, completion of various reports, monthly billings, revising forms as required, and other ad hoc reports as required· Respond to questions/queries from Arctic Co-ops staff, including in-scope staff, requiring knowledge of current collective bargaining agreement, as well as out of scope staff, candidates, and various outside agencies· With the full HR team, make recommendations to update policies and procedures and increase department efficiencies· Personal development through books, webinars, conferences· Performs the duties of the other HR team members as required· Act as primary lead for Payroll Administrator for preparing payroll communication forms & updating payroll communication spreadsheet entries· Act as primary lead for Payroll Administrator for administering completion and filing of new employee forms· Performs other related duties as assigned.Qualifications:· Two to three years’ experience in a Human Resources capacity;· Post-secondary education in Human Resources, and/or working towards completion of a certificate program;· Desire to work towards CPHR designation;· Understanding of collective agreement administration;· Excellent communication skills (both verbal and written);· Proficient in HR software products;· Attention to detail and excellent time management skills;· High level of integrity with the ability to keep confidential information secure;· Customer service orientation with the ability to relate to all levels of staff;· Good problem solving skills;· Good judgement with the ability to juggle multiple priorities and tasks;· Ability to identify problem areas and streamline processes;· Ability to be self motivated;· Ability to make a positive contribution within a team environment;· Ability to take initiative;· Commitment to learning and development;· Ability to travel if required.
