Human Resources Shared Services Representative

Job Description

As a PPSC Partner you will be in charge of customer interaction, delivering transactional and specialist HR services – administration, onboarding and overall Employee Lifecycle. You will report to the PPSC Team Leader and you will be based at UOA Shah Alam.Main ResponsibilitiesManage and maintain employee data in HR systems such as Workday and ServiceNow.Process new hires, leaves, separations, employee status changes, and other employee lifecycle events.Ensure that all necessary documents and approvals have been received and information is entered accurately into the system.Maintain electronic employee files and records to meet record-keeping requirements.Respond to employee and HR queries via ServiceNow.Perform regular data audits and validations to ensure data integrity.Ensure accuracy, consistency, and confidentiality of employee records.Collaborate with HR, Payroll, and IT teams to resolve data-related issues.Participate in system testing, data clean-up, and process improvement initiatives.Document procedures and maintain up-to-date process guides.Communicate effectively with stakeholders using Microsoft Teams and Outlook.Support compliance with internal policies and external regulations related to employee data.QualificationsBachelor’s degree in Human Resources, Business Administration, Information Systems, or a related field.1–3 years of experience in HR operations, data management, or shared services environment.Hands-on experience with Workday and ServiceNow for HR data processing and ticket handling will be an advantage.Proficiency in Microsoft Excel (e.g., formulas, PivotTables, data formatting) will be an advantage.Working knowledge of Microsoft Outlook, Teams, and PowerPoint will be an advantage.Strong attention to detail and commitment to data accuracy.Good analytical and problem-solving skills.Ability to handle confidential information with discretion.Effective communication and collaboration skills.Familiarity with HR processes such as onboarding, offboarding, and employee lifecycle management.Basic understanding of data privacy regulations.Prior experience in a HR Shared Services will be an added advantage.About UsHere at PPG we make it happen, and we seek candidates of the highest integrity and professionalism who share our values, with the commitment and drive to strive today to do better than yesterday – everyday.PPG: WE PROTECT AND BEAUTIFY THE WORLD™Through leadership in innovation, sustainability and color, PPG helps customers in industrial, transportation, consumer products, and construction markets and aftermarkets to enhance more surfaces in more ways than does any other company.
