Job Description

Job Summary:The Import & Export Executive is responsible for managing and coordinating the international movement of goods, ensuring full compliance with customs regulations, trade laws, and company policies. This role involves handling all import/export documentation, liaising with suppliers, freight forwarders, and customs authorities, and ensuring timely, cost-effective, and smooth delivery of shipments.⸻Key Responsibilities:1. Import & Export Operations • Manage the complete import and export cycle — from order placement to final delivery. • Prepare and verify shipping documents (commercial invoices, packing lists, certificates of origin, bills of lading, etc.). • Coordinate with freight forwarders, shipping lines, and customs brokers to ensure timely shipments. • Ensure all import/export transactions comply with international trade regulations, incoterms, and local customs laws. • Track shipments and update internal stakeholders on delivery schedules, potential delays, and status reports.2. Documentation & Compliance • Maintain accurate records of all import/export documents for audit and compliance purposes. • Ensure correct tariff codes, HS codes, and duty/tax rates are applied. • Liaise with government and regulatory agencies for licenses, permits, or inspection requirements. • Keep up to date with changes in import/export legislation and advise management accordingly.3. Supplier & Client Coordination • Communicate with international suppliers and clients to confirm orders, resolve discrepancies, and manage logistics. • Negotiate shipping rates and terms with freight companies to optimize costs. • Monitor supplier performance regarding lead times, quality, and documentation accuracy.4. Financial & Administrative • Prepare cost analysis reports for imports/exports including freight, insurance, duties, and other charges. • Coordinate with the finance team for payment of customs duties, freight, and vendor invoices. • Support management in budget planning and forecasting related to logistics and trade operations.⸻Qualifications & Skills:Education: • Bachelor’s degree in International Business, Logistics, Supply Chain Management, or a related field.Experience: • 2–5 years of experience in import/export operations, international logistics, or customs clearance.Skills: • Strong understanding of Incoterms, HS codes, and trade compliance. • Excellent communication and negotiation skills. • Proficient in MS Office (Excel, Word, Outlook); experience with ERP systems preferred. • Ability to handle multiple shipments and deadlines simultaneously. • Strong problem-solving and analytical skills. • Attention to detail and organizational excellence.Languages: • Fluent in English (written and spoken). • Additional language(s) are a plus.⸻Key Performance Indicators (KPIs): • On-time delivery rate. • Cost optimization and savings on logistics. • Documentation accuracy. • Compliance adherence. • Supplier and client satisfaction.⸻Compensation & Benefits: • Competitive salary based on experience.
