Job Roles and Key ResponsibilitiesGeneral Responsibilities–Oversee all specialized equipment, instruments, and technical assets across schools (Film, Music, Theatre, Visual Arts, Architecture & Design) to ensure operational readiness, safety, and accountability.–Support academic and creative activities by guaranteeing availability of assets for teaching, learning, and performance.–Maintain accurate, transparent, and auditable records for all high-value resources.–Promote efficiency, safety, and best practices in asset use and management across departments.–Strategic Responsibilities–Develop and implement policies and procedures for asset management, tracking, and reporting.–Align inventory and asset strategies with academic scheduling and creative workflows.–Partner with vendors, consultants, and internal stakeholders to ensure cost-effective procurement and lifecycle management.–Establish KPIs for asset utilization, maintenance compliance, and cost-efficiency, ensuring continuous improvement.–►Operational Responsibilities–Maintain a centralized inventory system with tagging, tracking, and auditing procedures.–Coordinate procurement, installation, and commissioning of new equipment during construction and handover phases.–Manage lifecycle of assets including acquisition, maintenance, upgrades, and disposal.–Oversee preventive and corrective maintenance schedules in coordination with FM and technical teams.–Ensure software, hardware, and equipment compatibility across disciplines, collaborating with IT and AV teams.–Supervise inventory technicians and manage vendor contracts for calibration, servicing, and repairs.–Train faculty, students, and staff on proper handling and operation of specialized equipment.–Generate regular reports on asset status, usage, and depreciation, maintaining full documentation for audits and compliance.Ideal Experience, Capabilities and SkillsIndustry Experience –10+ years in inventory or asset management, preferably in academic or creative institutions.–Strong familiarity with specialized equipment used in performing arts, design, and creative disciplines.–Demonstrated experience with inventory management software and digital tracking systems.–Knowledge of procurement processes, vendor management, and high-value technical asset handling.–Management capabilities–Proven ability to manage teams of technicians and coordinate external vendors.–Strong project management skills for overseeing procurement, commissioning, and maintenance cycles.–Experience implementing lifecycle management strategies for technical equipment.–Ability to balance budget oversight with operational requirements.–Interpersonal skills –Excellent organizational and analytical skills with strong attention to detail.–Ability to collaborate effectively with faculty, students, IT, AV, and FM teams.–Strong communication and training capabilities for diverse technical and academic audiences.–Problem-solving skills with adaptability in dynamic and high-demand environments.
