Job Description

The Logistics Coordinator reports directly to the EMEA Logistics Manager and works closely with the regional operations team. This role is responsible for managing all aspects of local and event-related logistics, including certain elements of warehouse and supply chain management, as outlined below.Key Responsibilities and DutiesOff Season: Coordinate preparation and inventory management of local equipment. During the off-season inventory management and reordering of equipment will be a focus, ensuring the local equipment is checked post season all the way through until it is ready for the first race. Support in this task should be coordinated with the Regional Operations Director.Creation and improvement of an inventory tool.Assist with tour truck inventory and preparation in Liederbach and Pineda.Organise movement of local equipment to events across the region working with internal and external suppliers to ensure timely collection and delivery on site.Support with bulk ordering and communication with the supply chain team.Work with the operational teams to support on regional tasks as approved by the Logistics Manager EMEA (with input from Regional Operations Director).Coordinate the hiring and supervision of required contractors and additional staff for the onsite areas of responsibility.On Site: Coordinate with the Regional Operations Director and Project Managers regarding all tour truck aspects such as on-site parking, unloading and loading times, addresses for unloading, ensure permits for truck access are gained etc. Share with the team the playbook created.Maintain communication with tour truck drivers and create playbooks with all relevant information.Focus on tour truck tasks as follows: Unload all trucks in relevant areas as per the agreed schedule, this may require partial unloading in busy areas. Merchandise, steel and box truck.Assisting the merchandise team with the building of the store. o Unloading the box truck so all relevant boxes are accessible to the relevant departments.Building of the finish line area – Arch, timing mats, clock, fences, finish line carpets. o Maintain an inventory post-race of all tour truck equipment and any damage should be communicated with the logistics team members.Agree a written teardown plan with the project manager, highlight areas of support that will be required.Assist in the teardown of the merchandise store and reloading of the merchandise equipment.Teardown and packing of the finish line equipment post-race and reloading of all metal work when all areas have been packed. Ensure communication with the wider team is strong the ensure all metal work is packed correctly.Coordinate the return of the swim equipment so it can be packed on the steel truck.Once all items have been returned, reload the box truck ready for the trucks to depart to the next race.Coordinate the departure times with EMEA Logistics Manager to understand the time pressure of each race.Oversee the execution of onsite / local logistics. Ensure adequate resource allocation to cover both key aspects of event logistics (Tour Truck management and Local Event Logistics) by recruiting an experienced contractor who will be required to take the lead on this aspect at this event.Support or lead at races across EMEA where required as approved by the Logistics Manager EMEAAdditional tasks may be required to be fulfilled in Liederbach (or elsewhere) during the season and other logistics tasks as requested by Logistics Manager EMEA.Supervising the warehouse team. (Playbook and daily feedback) Skills and competencies Demonstrates strong problem-solving abilities, effectively addressing challenges and finding practical solutions. Possesses excellent oral and written communication skills in English. Any other European language is a plus. Experienced managing contractors and overseeing their performance. Works effectively within a team environment, fostering collaboration and shared goals. Maintains a strong commitment to quality control, ensuring all work meets required standards. Exhibits strong planning and organizational skills. Consistently reliable, adaptable, and dependable in completing tasks and meeting deadlines. Holds a valid driving license, required for certain tasks.
