Speaker Support Specialist – ON SITEOverviewThis role supports the execution of Executive Engagements. You will be part of a larger team that supports world-class customers and account team experiences through speaker recruiting support, speaker fulfillment, and program management.What You’ll DoSpeaker Fulfilment ( 80% of role)Gather Knowledge: Leverage speaker guidance for insight into customer and account team goals ensuring we are leveraging the right session and performing outreach to the right speakers. Use relationships with speakers for recommendations when the desired session needs are outside of their specialty.Custom Session & Executive Requests Support: Assist the EO & EPM with custom session or Executive request speaker outreach (ownership falls on the EO/Account team/EPM engaged).Procure: Source the best speaker to ensure a positive customer outcome leveraging speaker guidance, engagement objectives, understanding speaker strengths to match to session goals, setting appropriate expectations with account teams and speakers and assessment of risk with built in contingency plans through side-by-side sessions and/or collaborating with EPM and Account team on options. Ensure speakers have the information needed to make an informed decision for their valued participation. Work with EPMs to identify individual speakers within each topic.Escalations: An escalation happens when there is no aligned speaker at the T-3 week mark from the engagement start date. Flag escalations for aligned escalation topics by EPM and utilize expertise, relationships, and problem solving to secure a speaker or experience.Day of Support: Act as escalation point on the day(s) of the briefing for all speaker related briefing issues (speakers may cancel a session due to sickness, other engagements, etc. and an attempt to secure a new speaker must be initiated). Speaker Program Management (20% of role)Speaker Onboarding: Manage the speaker onboarding process from beginning to end, including pre-work, orientation, post-work, follow-up calls, session observations, and tracking.Local Speaker Profiles: Manage Speaker Profiles and Speaker Pools, register new speakers, process deactivations, and reflect accurate data for delivery teams and other stakeholders.Local Speaker Pool Hygiene & Updates : Working with Redmond-based Speaker Specialists, track speaker community health, specifically for escalation topics, and advise of any known changes that occur and impact the procurement of speakers.Local Speaker Data Reports: Become an expert with our internal reporting tools and work closely with our internal tools team and Redmond-based Speaker Specialists. (Power BI reports, Topic Catalog on SharePoint, Speaker Dashboard, and other Speaker Apps)Local Speaker Training: If Experience Center-based speaker training program offered coordinate registration, speaker training nominations based on speaker scores and number or session and event logistics such as room reservation and cateringStrategic Speaker Program Initiatives: Provide guidance on new speaker strategies and implementation to support planning and execution.SEM Integration: Shared management and strategic alignment between SEM function and speaker specialist function in regard to identifying speaker or speaker groups for customer engagements.What You HaveExcellent Communication SkillsExperience in project and program management methodology and techniquesAbility to take leadership and stakeholder management skillsStrong time management and prioritization skillsExperience in project planningCreativity and leadership skills through influenceStrong verbal and written communication skillsProblem solvingAdaptabilityAbility to work autonomously and take initiativeProficient: Microsoft suite (Office, Outlook, Excel (Pivot tables, etc), PowerPoint) & Microsoft formsAdditional InformationThis is an onsite role in Munich.Candidates must provide their own laptop.The position will be hired through Globalization Partners (GP), which serves as the employer of record for international contractors.The selected candidate will report to a Prime 8 Account Director and collaborate daily with internal teams and stakeholders.Prime 8 is a highly respected, woman-owned management consulting firm.
