Job Title: Operations Coordinator – Kids FoundryReports to: Director of Education / Executive DirectorEmployment Type: Full-TimeWork Location: Magnolia Connects – Kids FoundryFLSA Status: Exempt (as guided by Botswana Employment Act)The OpportunityThe Operations Coordinator, Kids Foundry is responsible for the planning, coordination, and delivery of all children’s experiential learning programs at Magnolia Connects. This includes workshops, after-school cohorts, weekend sessions, and school-day educational experiences.The Coordinator ensures operational excellence, curriculum quality, and a safe, enriching environment for children. This role combines educational leadership, people management, and logistical oversight to deliver a world-class learning experience for every child and partner institution.Core ResponsibilitiesI. Program Design & Delivery ManagementResponsible for the quality, consistency, and effectiveness of all learning experiences within Kids Foundry.Coordinate the planning and delivery of all programs (one-day workshops, term-based cohorts, and special events).Implement and adapt curricula to ensure alignment with educational goals and developmental appropriateness for age groups.Oversee scheduling, program timetables, and resource allocation for multiple simultaneous sessions.Collaborate with the Director of Education to maintain program standards, including child engagement, creativity, and experiential learning outcomes.Evaluate program success through feedback, observations, and periodic assessments to inform future improvements.II. Staff Leadership & DevelopmentResponsible for supervising, training, and developing the team of Activity Leaders and facilitators.Oversee the daily operations of Activity Leaders, assigning program roles, managing schedules, and ensuring adequate coverage.Lead onboarding, orientation, and ongoing professional development for all program staff.Conduct performance check-ins and provide coaching to improve facilitation techniques and classroom management.Foster a collaborative, positive, and safe work culture that models professionalism and teamwork.Conduct regular team briefings to align on goals, curriculum updates, and operational logistics.III. Operational Planning & LogisticsResponsible for the effective use of resources, materials, and physical space to ensure smooth operations.Manage daily logistics, including space setup, material readiness, and program transitions.Oversee stock control and inventory of educational supplies, ensuring adequate materials are available for all sessions.Coordinate with the procurement team for purchasing materials and maintaining accurate inventory records.Monitor facility cleanliness, safety, and functionality in accordance with Public Health Regulations.Support maintenance reporting and ensure that all child-facing spaces meet safety and hygiene standards.IV. Safety, Compliance & Child ProtectionResponsible for maintaining a secure environment that prioritizes the wellbeing of every child.Enforce compliance with Botswana’s Children’s Act (2009) and Child Protection Guidelines within all program activities.Ensure staff-to-child ratios are maintained at all times and that every session has adequate supervision.Manage incident reporting, emergency response protocols, and communication with parents or guardians in coordination with the Executive Director.Oversee the implementation of child safeguarding policies, ensuring all staff complete required training and background checks.Maintain accurate attendance, health, and safety records.V. Stakeholder Engagement & CommunicationResponsible for professional communication and collaboration with internal and external partners.Serve as the primary liaison for parents, schools, and community partners regarding program details and scheduling.Communicate updates on student progress, achievements, and incidents to relevant stakeholders.Coordinate with the marketing team to provide program highlights, photos, and feedback for promotional purposes.Represent Kids Foundry at community and educational outreach events.Support development of partnerships with schools and organizations to expand program reach.Required QualificationsBachelor’s degree in Education, Child Development, Psychology, or related field; advanced diploma or degree preferred.Minimum 3 years of experience in education, youth programming, or project coordination roles.Strong leadership, team management, and communication skills.Proven ability to manage multiple programs and staff simultaneously.Familiarity with Botswana’s child protection and education policies.First Aid and CPR certification (or willingness to obtain upon hire).Proficiency in Microsoft Office and basic administrative systems.Key CompetenciesEducational Leadership: Ability to inspire staff and students through creativity and structured learning.Operational Excellence: Strong organizational and planning skills with attention to detail.Safety & Compliance: Deep understanding of child safeguarding and health/safety procedures.Team Development: Skilled in mentoring, motivating, and managing diverse teams.Communication: Clear, professional, and empathetic in dealing with parents, partners, and staff.Adaptability: Capable of adjusting to changing schedules, child needs, and program requirements.Remuneration & Employment ConditionsCompetitive salary commensurate with qualifications and experience.Working hours: Primarily daytime hours, with occasional evenings or weekends for special programs.Leave and benefits in accordance with the Botswana Employment Act.Ongoing professional development opportunities.Must adhere to Magnolia Connects’ Child Protection, Code of Conduct, and Health & Safety Policies.SummaryThe Operations Coordinator, Kids Foundry, is the driving force behind the smooth delivery and impact of Magnolia Connects’ educational programs.
