Job Description

Under the supervision of the Office Administrator, the Legal and Administrative Assistant is responsible for providing in-office support to attorneys in the areas of reception, mail processing and distribution, records and file support, scanning, office maintenance, clerical support, and other administrative tasks as the attorneys and Office Administrator may assign. Requires excellent time management, communication and organizational skills.This is a hybrid position located in Singapore.ResponsibilitesEnsure accurate creation and submission New Client Matters (“NCM”) in accordance with firm standards.Maintain client tracking spreadsheets and coordinate with outside counsel to monitor status updates.Prepare attorney reimbursement requests, including currency conversions and submit for approval.Translate and format multi-page documents.Support attorneys in organizing and implementing global projects, including organizing and recording data, communicating with clients and local legal teams, ensuring timely responses to project deadlines, tracking relevant items in spreadsheets, etc.Communicate with attorneys’ clients with regard to administrative tasks on behalf of the firm.Provide front desk support by welcoming visitors and managing incoming deliveries.Manage mobile phone data roaming for attorneys during travel.Support client development initiatives and related activities. Arrange catering for meetings and make restaurant reservations. Manage daily mail and courier deliveries; sort, scan and process outgoing mail using postage equipment.Operate and maintain standard office equipment including laptops, copiers, printers and postage meter. Serve as point of contact for troubleshooting and liaise with service providers as approved. Order supplies, kitchen refreshments, firm stationery and business cards from approved vendors.Maintain physical and digital records using File Trail and NetDocuments; manage offsite storage logistics.Serve as liaison with building management regarding local maintenance/repairs including lighting, janitorial, and other facility related issues.Maintain cleanliness and organization of reception area and office; ensure a professional and welcoming environment.Maintain regular and reliable in-office attendance.Perform other duties as assigned to support office operations.Support attorneys in organizing and implementing global projects, including organizing and recording data, communicating with clients and local legal teams, ensuring timely responses to project deadlines, tracking relevant items in spreadsheets, etc.QualificationsHighly organized with ability to support multiple attorneys’ practices and coordinate multiple tasks and requests effectively.Demonstrates strong time management expertise with ability to prioritize and anticipate practice needs. Demonstrates initiative to identify, monitor and execute tasks related to case timelines. Demonstrates strong written and verbal skills to communicate effectively with internal and external parties.Demonstrates proficiency in using MS Office, Excel, Outlook and Adobe.Experience RequiredMinimum five (5) years of legal administrative experience required.
