What you’ll be doing Within our Shanghai Office's Transactional team, you will be providing secretarial and administrative support to Partners and other senior lawyers. Responsibilities Providing general legal secretarial assistance. Preparing, editing, formatting and proofing letters and other documents at your supervisor’s request. Keeping a log of clients who have been billed and chasing clients who have not yet made payment (debtor chasing). Setting up new matters / clients / e-files. Keeping e-files all up-to-date and organized. Sending out legal opinions and other documents. Scanning documents onto e-file for any given matter. Making appointments and keeping diary at supervisor’s request. Answering calls and taking messages at supervisor’s request. Conducting online searches for the purposes of marketing at supervisor’s request. Keeping record of supervisor’s business contacts. Booking international travel and hotels for attorneys. Ensuring that you support the attorneys in administrative and secretarial duties as contained herein to ensure that they can concentrate on fee generating work. Perform ad-hoc tasks. Qualifications and experience required Bachelor’s degree. Gained at least 3-year secretarial experience, preferred in a law firm or professional industry but it is not essential. Experience in supporting transactional team is preferred but not essential. Fluency in English and Mandarin, both spoken and written (ideally achievement of CET-6, the English language certificate.) Familiar with MS office and Chinese word processing. Excellent written and verbal communications skills, well-organized and detail oriented. Strong time management skills and able to deliver high quality work in time. Comfortable in a fast-paced environment with ability to manage multiple projects and timelines concurrently. Ability to work both independently and as part of a local secretarial team.
