If you want the freedom to grow at a firm that is invested in your future, keep reading.The OpportunityAs a Real Estate Legal Support Assistant, you will provide a variety of secretarial and administrative duties for assigned attorneys across the firm’s practice groups, including two firm leaders - the Office Managing Partner and an Executive Committee member. You will be responsible for interacting with colleagues in a team setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.The Day-To-DayOn Any Given Day, You Will Be Working With Firm Leadership, Partners, And Business Colleagues On a Variety Of Requests And Projects. You WillDraft, input, revise and finalize, routine correspondence, memoranda and other legal documents.Assist with corporate matters, such as pulling certificates and preparing routine filings. Process CSC invoices and handle vendor correspondence related to billing and entity management.Prepare initial drafts of loan documents, amendments to Purchase and Sale Agreements, and acquisition/conveyance documents in accordance with attorney instructions and term sheets.Support firm leaders by managing specialized administrative tasks requiring an executive assistant presence. Prepare signature packages and help coordinate real estate closings with attorneys, lenders and title companies.Create and maintain closing files / organize and prepare closing binders.Prepare contract timelines and provide reminders to attorneys and clients.Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.Proofread documents and check for appropriate formatting, spelling and grammar.Maintain good relations with clients.Review all incoming mail, distribute to teams as needed and upload to the DMS.Prepare documents and packages for mail, messenger and overnight delivery.Prepare expense reports, manage vendor invoices, mailings, and request checks as needed.Enter attorney time and send time entry reminders.Process client billing and assist with review and edit of bills as necessary.Complete client/matter intake forms; request conflicts of interest checks; open new files and prepare files to be closed.Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services).Provide overflow and absence coverage assistance as well as legal support for Legal Support Assistant Team Members’ attorneys.Complete other duties and projects as assigned.You HaveA minimum of 7-10 years of legal secretarial experience supporting firm leaders, including providing support for transactional practice groups. Prior real estate and corporate experience is strongly preferred.Recent experience at a large, national firm.Strong proofreading skills, attention to detail and solid grammar/spelling skills.High degree of proficiency with Microsoft programs (Word, Outlook, Powerpoint).Familiarity with Carpe Diem, Elite, iManage, Chrome River, Forte, Workshare Compare or similar technology.The ability to organize, prioritize and meet the demands of multiple attorney assignments.Flexibility to work overtime occasionally.Good attendance and punctuality.What We ProvideSeyfarth provides competitive salary and benefits at all levels, and our culture embraces the entrepreneurial spirit of its professionals like no other firm.
