They are seeking a skilled and proactive Marketing and Operations Virtual Assistant to help support marketing and administrative operations as they continue to expand.🎯 Position OverviewThe Marketing and Operations VA will be responsible for supporting marketing initiatives, managing client outreach, handling scheduling, and assisting with administrative and social media tasks. This role is ideal for someone who enjoys engaging with clients, thrives in a detail-oriented environment, and can manage multiple priorities efficiently.🧩 Key ResponsibilitiesMarketing & Outreach:Conduct outreach on social media (e.g., Instagram, Facebook groups) to invite potential clients for complimentary consultations.Track and manage influencer partnerships — including tracking services, creating influencer codes, and monitoring monthly performance.Create, schedule, and manage engaging social media content and marketing projects.Track and organize before-and-after photos for marketing materials.Encourage clients to leave Google Reviews and assist in managing online reputation.Order and manage marketing materials as needed.Appointment & Client Management:Schedule, confirm, and manage client appointments efficiently using the booking system (training in Zenoti provided).Manage provider calendars to ensure accuracy and maximize booking opportunities.Respond to client messages and inquiries via text and social media.Follow up with potential leads and reach out to past clients for follow-up appointments.Handle appointment cancellations and reschedules promptly to minimize schedule gaps.Administrative & Communication Support:Prepare reports and assist in tracking performance metrics (KPI: keeping provider schedules as close to fully booked as possible).Create and manage standardized messages for client communication.Support general administrative tasks and ensure smooth daily operations.Use tools like Google Drive and other platforms for organization and data management.📊 Key Performance Indicators (KPIs)Provider schedules consistently filled to capacity.High-quality and timely client communication.Effective tracking and conversion of leads.Strong social media engagement and content performance.🧠 Basic RequirementsExcellent English communication skills (spoken and written).Relevant experience in marketing, customer support, or administrative assistance (experience in aesthetics or medical fields preferred).Must be reliable, organized, and detail-oriented.Must be able to work independently and as part of a team.Must be available for video meetings with the camera on.Must have no other clients during required work hours.Able to provide NBI clearance or local police clearance prior to onboarding.🖥️ Technical RequirementsDevice: Reliable laptop or desktop computer.Internet: High-speed connection (minimum 15 Mbps).Audio: Noise-canceling headset.Video: Functional webcam for meetings.Workspace: Quiet and professional environment.📹 Additional RequirementApplicants must submit a short video introduction (1–2 minutes) as part of the application.🌟 Why Join UsThis role offers the opportunity to work with a passionate and dedicated team in the growing field of skincare and aesthetics.
