About the Role:MediFlex Talent Solutions is hiring a Medical Office Manager on behalf of one of our healthcare clinic clients. This is a leadership position responsible for overseeing day-to-day clinic operations, ensuring efficient patient flow, supporting clinical staff, and maintaining a high standard of patient service.The ideal candidate is an experienced clinic leader who excels at staff supervision, workflow optimization, scheduling, and operational coordination. You will play a key role in helping the clinic deliver accessible, patient-centered, and culturally respectful care.Key Responsibilities:Clinic Operations & Workflow ManagementOversee all daily administrative and operational activities within the clinic.Manage provider and staff scheduling, ensuring appropriate coverage and smooth appointment flow.Maintain and optimize clinic workflows, registration processes, and intake procedures.Coordinate communication between administrative staff, clinicians, and external partners.Ensure the clinic environment remains organized, safe, and aligned with healthcare best practices.Staff Supervision & LeadershipSupervise medical office assistants and administrative staff.Provide coaching, mentorship, and ongoing performance support.Lead onboarding for new administrative team members and clinic support staff.Promote a positive, collaborative, and inclusive team culture.Quality, Compliance & Clinic StandardsSupport implementation and maintenance of clinic policies and procedures.Assist with quality improvement initiatives, audits, and workflow evaluations.Ensure adherence to privacy policies, infection control procedures, and patient safety standards.Support incident documentation and follow-up as required.Patient Experience & CommunicationServe as a primary escalation point for patient concerns and service issues.Ensure a welcoming, culturally safe, and trauma-informed approach to patient care.Strengthen communication across administrative and clinical teams.Support community-focused initiatives as needed.Administrative, Financial & Resource CoordinationMonitor administrative budgets, supplies, and clinic inventory.Support workforce planning and administrative scheduling.Assist with reporting, operational metrics, and administrative documentation.Coordinate recruitment processes for administrative roles.Qualifications: Diploma or bachelor’s degree in Health Administration, Medical Office Administration, Business Administration, or a related field.3–7 years of medical office management or clinic administration experience.Proven experience supervising staff and leading administrative teams.Strong understanding of clinic operations, scheduling systems, and EMR/EHR workflows.Excellent communication, organizational, and problem-solving skills.Commitment to patient-centered care, equity, diversity, and inclusion.PreferredExperience in a multi-provider, primary care, community health, or academic-teaching clinic environment.Familiarity with healthcare regulations, privacy legislation, and quality improvement processes.Working Conditions:Office-based role within a clinical environment.
