Position OverviewThe Administrative Assistant/Receptionist is responsible for providing administrative support to maintain the efficient and effective operation of the office. This role involves tasks including correspondence, scheduling, document preparation, and supporting internal teams. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities with professionalism and discretion.

Key ResponsibilitiesGreet visitors and clients in a professional and friendly mannerAnswer and route incoming calls and emails to appropriate departmentsManage reception area to ensure it is clean and welcomingReceive and distribute mail, packages, and deliveriesMaintain visitor logs and security protocolsSchedule meetings, appointments, and conference roomsPrepare and edit correspondence, reports, and other documentsHandle data entry, filing, scanning, and record keepingSupport internal departments with general administrative tasksCoordinate courier services and logisticsProvide general administrative support including correspondence mailing, scanning, faxing, and copying. Schedule meetings, appointments, and travel arrangements. Assist in the preparation of regularly scheduled reports and presentations.

Respond to incoming calls, emails, and other communications internally and externally. Support team members and departments as needed for events, reports, and administrative projects. Other tasks and responsibilities as needed. Skills And QualificationsEducation: High school diploma; post-secondary education or diploma in Office Administration is an assetExperience: Minimum 2 years in an administrative/receptionist roleSkills & Competencies: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skillsStrong organizational and time-management skills. Ability to work independently and in a team environment. Professional demeanor and strong interpersonal skills.
