Multi-Branch Office Administrator (with Financial Skills)

Location & Work Setup:·        Base: Dubai or Cyprus Office — remotely supports Hong Kong/China, India, Qatar, Korea·        Work type: Full-time, on-site ·        Time zones: Daily overlap with all four branches About Us:At Kara Express, we pride ourselves on our global presence, with multiple international branches strategically located to serve our clients' needs worldwide. As a leading logistics solutions provider, we specialize in air/sea/land freight forwarding, warehousing, and supply chain management. Overview:Be the administrative backbone for four branches—vendors, travel, meetings, facilities, contracts, and documentation—while also supporting group reporting (budget consolidation, monthly BvA & cash-flow summaries, audit coordination with our accountants). Only applications in English will be taken into consideration Responsibilities: ·        Manage vendors, utilities, internet/phones; oversee office supplies & couriers.·        Coordinate travel & visas; organize calendars; prepare agendas and meeting minutes.·        Maintain contracts register (rent, insurance, renewals) and basic facilities coordination.·        HR admin support: onboarding checklists, file hygiene, leave tracker.·        Front-office support; routine cross-branch admin liaison.·        Liaise with the Group’s International Team for requests and financial matters·        Prepare & maintain Budget files as instructed by the Manager·        Prepare monthly Budget vs Actual (branch & consolidated) from system exports.·        Update monthly cash-flow overview.·        Compile the month-end documentation pack (bank statements, invoice folders, contracts/POs, trackers) for the accounting agency.·        Audit assistance: maintain request log, gather evidence, schedule calls.·        Serve as the single coordination point with the outsourced accounting agency. Requirements: ·        3+ years office administration experience (multi-stakeholder, multi-timezone).·        Excellent written and spoken English ·        Proficient in MS Office & Google Workspace: mainly Excel/Sheets PowerPoint, Outlook and hands-on calendar & travel coordination.·        Experience consolidating budgets/BvA from system exports.·        Logistics/forwarding familiarity will be largely preferred·        Basic process documentation (SOPs/checklists).  What we offer:·        Full-time, permanent position;·        Salary based on skills and experience·        Local benefits per base location.
