Job Description

*ABOUT THE MUSEO DE ARTE DE PONCE*Through access to its exceptional collection of American, European and Puerto Rican art, and art-based experiences, the Museo de Arte de Ponce promotes discovery, stimulates curiosity, and fosters dialogue to enhance the life of its community. It was founded by Luis A. Ferré (1904-2003), a Puerto Rican philanthropist, industrialist and governor of Puerto Rico, who began buying works of art for the Museum by first establishing The Luis A. Ferré Foundation, in 1957. The Museum opened its doors to the public on January 3, 1959, in a colonial house in Ponce, Puerto Rico.

In 1965, the building that is home today to the Museum was designed by the renowned U. S. architect Edward Durell Stone. An Annex Building was added in 2010 to expand its facilities and services to the community. The collection of the Museum consists of close to 5,000 works of art and is renowned for its great examples of Baroque, Pre-Raphaelite and Victorian paintings as well as Puerto Rican and Latin American art. Accredited by the American Alliance of Museums since 1987, the Museo de Arte de Ponce has become an essential institution for the educational development and social transformation of our communities.

*POSITION OVERVIEW*The Events and Sponsorship Manager is responsible of planning and executing fundraising activities and events, as well as securing sponsorship and financial resources for events and the operations of the Museum. The role is responsible of planning and administering the event sponsorship program, serving as the person responsible for all events (budgeting, design, planning and implementation of social, fundraising, and membership related events). The scope of work can be in Ponce or in San Juan with a weekly travel to Ponce.

*COMPENSATION AND BENEFITS*The Events and Sponsorship Manager is a full-time, exempt position, with an annual salary range of $40,000 to $50,000. The specific compensation offered to a candidate may be dependent on a variety of factors, including, but not limited to, the candidate's experience, education, special licensing or qualifications. Benefits offered may differ based on full-time or part-time employee status: Medical, Dental, and Vision insurance coverage begins on the first day of the month following the hire date; Museum covers 90% of the premium Paid time off, including (annually):

15 days of vacation, 12 sick days, birthday off, funeral leave and 13 holidays Short-term disability insurance Christmas bonus 10% staff discount in Museum Shop Free parking space Other benefits may apply*PRIMARY FUNCTIONS AND RESPONSIBILITIES*Event Management Tasks Plan, coordinate and execute the fundraising events of Museo de Arte de Ponce, including but not limited to, its traditional Annual Gala, members events, Happy Art, dinners, lunches, exhibition openings or other events from the Museum. Request quotes for all types of services that are part of an event – whether it is a massive event, a small event, a meeting, dinners, etc.

Manage mailing of invitations for exhibitions and cultural activities, calendars and other mailings. Aide in the coordination, planning, implementation and evaluation of museum's programs, services and activities including: evaluating the contribution of such programs, services and activities to the museum's mission and Strategic Plan, as well as to short- and long-term financial sustainability. Manage and maintain database on all donors and prospects. Responsible of preparing and maintaining overall timelines for events. Prepare and monitor event expense and income budgets. Responsible for achieving budgeted results. Responsible for achieving attendance goals related to special events.

Organize and coordinate planning meetings for the staff involved in events. Manage catering arrangements (obtaining quotes, selecting caterer/menu, arranging logistics, contract negotiation and execution). Cultivate and solicit business prospects for event sponsorships. Arrange appropriate recognition of event sponsors. Liaison with agency or event planners and coordinators and/or make arrangements for rentals, décor, entertainment, beverages and service for events. On "day of event", provide onsite event organization and oversight of staff, volunteers and vendors, including set-up, check-in, removal, etc. Serve as contact person to direct activities and resolve problems.

Work with the Communications Department for advertising and promotion of events. Aide with the development of budgets for events. Other Development Department Tasks Aide on managing calendar invites, creating presentations, managing lists, drafting letters and emails. Prepare purchase orders and follow up with suppliers. Prepare expense reports. Develop, draft, edit and compose documents including acknowledgement letters and responses to correspondence containing routine inquiries. Develop fundraising plans for specific projects, as requested by the Head of Development. Cultivate relationships with donors by email, phone call or in person meetings in coordination with the Head of Development.

Create lists of companies and individuals (search for emails, phone numbers, addresses, etc. ) that could become donors. Aide the Head of Development in fundraising campaigns that include direct mail, events, door to door solicitations, phone solicitations, e-mail marketing, text to give and crowdfunding. Follow-up pending payments and/or donations to the Museum. Prepare status summaries of different projects. Aide in the implementation of individual and corporate fundraising strategies for cultivation and solicitation of current and potential donors.

*KNOWLEDGE, SKILLS AND ABILITIES* Ability to work as part of a team and independently, attention to detail and remaining calm under pressure in a fast-paced work environment. Flexibility and adaptability to respond to shifting priorities as tasked. An appreciation for the arts and enthusiasm for furthering the mission of the Museum. Computer skills (Microsoft – Word, Excel and Power Point) and accounting modules. Excellent writing and communication skills, both in English and Spanish. Must demonstrate a high level of speaking, organization and public relations skills. Effective communication, presentation, and problem-solving skills.

Highly organized with the ability to implement systems and follow up process. Possess vision, patience, perseverance, tact and diplomacy. Professional with excellent work ethic. *REQUIREMENTS*Bachelor's degree in business administration, marketing, communications, public relations, or related field. Three years of experience in fundraising, membership program, client relationship management or related fields. Willingness to work on evenings and weekends when necessary. *WHAT TO KNOW BEFORE YOU APPLY*The Museum's main building, designed by Edward Durell Stone, suffered damages caused by a 6. 4 earthquake in January 2020 that forced its ongoing closure.

The Museum is entering an exciting new phase as it begins this summer (2025) a comprehensive seismic retrofit, with a projected reopening in late 2027. This is part of a broader effort to rebuild Ponce following the earthquake.
